Job Description


This position is responsible for managing day-to-day secretarial and operations for the practice. Responsibilities include the following:

General Administrative

  • Coordinate with practice leadership to develop processes and procedures that ensure the efficient and seamless operation of the practice
  • Responsible for the calendar and travel management for the practice
  • Attend external and internal staff meetings when required; take and maintain meeting minutes and follow up on tasks assigned
  • Provide overall coordination/tracking of practice budget and spending against budget
  • Expense review and approval for practice matter numbers
  • Monitor time reporting submissions and enforce non-compliance
  • Manage vendor/subscription contracts for the practice to maximize value
  • Act as central point of contact for all assigned Senior Managing Directors administrative needs
  • Liaise with the operational functions (Admin, Finance, HR, Marketing, IT etc) on internal processes and procedures
  • Provide coverage for Executive Assistants when necessary
  • Other ad-hoc duties may be required
Client Administration
  • Billing review and management
  • Assist in establishing time entry guidelines and ensuring the engagement team complies with unique terms
  • Train new hires with respect to Billing Guidelines and Procedures
  • Maintenance of all the agreements and templates
  • Maintain inventory of pricing structures and MSAs; ensure compliance with MSAs
  • Receive, and process Contractor invoices and ensure inclusion of fees and expenses on client bills
  • Monitor and process commission payments to contractors
  • Monitor client payments and release of payments to contractors
  • Development and review of monthly product P&L for accuracy
Marketing Support
  • Organize and keep current practice materials for pitches, RFPs and presentations
  • Manage and monitor SalesForce reporting for practice and provide information to leadership about pipeline and backlogs
  • Support practice business development by managing new business sources and managing client databases
  • Monitor and schedule FTI participation in industry events and conferences
  • Coordinate campaigns for practice
Basic Qualifications
  • Possess at least Diploma/Advanced/Higher/Graduate Diploma in Business Administration / Secretarial Cert or equivalent
  • At least 5-6 years of experience in supporting multiple executives
  • Experience in management consultancy or other professional services environment highly preferred
  • Problem solver - able to work with other teams and staff members effectively to reach a viable solution and goal
  • Excellent communicator and negotiator - able to deal effectively with people at all levels across a multicultural environment
  • Ability to maintain and respect confidentiality
  • Ability to manage a heavy work volume and meet deadlines in an extremely fast paced environment
  • Ability to juggle several tasks at once, to prioritize and manage own time - Not a clock watcher or someone who is unwilling to step outside their job description
  • Able to start work within short period of time
