The Job

The Executive Assistant is responsible for providing comprehensive support to the CEO, the Head of Investments, and the Board of Directors of Singapore, and managing the company\xe2\x80\x99s office operations. You will complete a broad variety of administrative and operational tasks that facilitate the CEO and Head of Investments\' leadership of the company.

Your responsibilities will include:
  • Working closely with the CEO and the Head of Investments to keep them well informed of upcoming commitments and responsibilities. Acting as a \xe2\x80\x9cbarometer\xe2\x80\x9d for the CEO and the Head of Investments, having a sense for the issues taking place in the environment and keeping them updated. Anticipate CEO and Head of Investments\' needs in advance of meetings, conferences, travels, etc.
  • Managing and coordinating CEO and Head of Investments\' extremely active schedule.
  • Making direct travel arrangements, e.g. flights, hotel bookings, etc. for CEO and Head of Investments\' travels, itineraries, and agendas.
  • Taking care of the end-to-end meeting process - including setting up the meeting facilities, taking minutes, preparation of refreshments, and development of presentations
  • Developing, compiling, and distributing presentation materials for CEO and Head of Investments\' meetings.
  • Monitoring and completing CEO and Head of Investments expense reports.
  • Developing and maintaining a filing system for CEO and Head of Investments\' office.
  • Collaborating with the Executive Team to coordinate the CEO and Head of Investments\' activities as and when required. Following up on & updating Outlook on contacts made by them to keep track of and cultivate ongoing relationships.
  • Coordinating all Executive Team meetings and assisting staff meetings and events as needed.
  • Providing event management support as requested and hospitality to all guests to help create a welcoming environment.
  • Answering main phone line and respond to inquiries, welcoming and receiving guests, etc.
  • Supporting in other office operations, i.e., monitoring of office, pantry, and general supplies, assist in collecting and distributing mails.
  • Taking care of the company\xe2\x80\x99s office, e.g., replenish office materials such as printer supplies, paper, office supplies, pantry supplies, etc.
Ideal Candidate
  • Possess at least Bachelor\xe2\x80\x99s degree/Post Graduate Diploma/Professional Degree in any field, with a degree in psychology a plus.
  • At least 5 years of relevant working experience supporting C-Level Executives.
  • Strong organizational skills and excellent in time management.
  • Able to prioritize multiple tasks seamlessly with excellent attention to detail, and to complete a high volume of tasks and projects with little or no guidance.
  • Display an entrepreneurial mindset, able to quickly adapt and switch gears at a moment\xe2\x80\x99s notice.
  • Dedicated, takes pride in top quality work.
  • Excellent written and communication skills, including full proficiency in Microsoft Word, Excel, Power Point, Outlook email.
  • Required language(s): English, Chinese (written and oral Mandarin a must, and Cantonese an asset) to be able to liaise effectively to different stakeholders across the region.
  • A keen interest and/or exposure to philanthropy matters is a plus.
