Job FunctionFacilities and Property ManagementJob SummaryThe Executive - Facilities is responsible for supporting the effective management and upkeep of the company-owned facilities, ensuring a clean, safe and functional working environment for employees. This role includes routine facility inspections, coordinating repairs, and overseeing maintenance operations for the building\'s infrastructure. He/She deploys relevant personnel for timely actions in response to tenants\' requests and feedback. He monitors the service delivery of third-party service deliverers and track fault calls to ensure closure within a stipulated period of time. He/she assists the Facilities and Property Management in the implementation of preventive maintenance programmes, monitors the performance of vendors, and ensures compliance with Singapore\'s Workplace Safety and Health (WSH) standards.The role requires a proactive approach to identifying potential issues, managing resources effectively, and responding promptly to facility-related concerns. He/she will also assist in managing facility-related documentation, including maintaining accurate records of inspections, repairs, and compliance checks. He/she is responsible to ensure operational continuity, reducing facility downtime, and maintaining high standards of safety and functionality in the company\'s physical workspace.He/she is detail-oriented, organized, and skilled in handling multiple tasks simultaneously. They should have a solid understanding of basic building systems, be capable of managing external service providers, and have strong communication skills to liaise effectively with internal teams and external vendors. He works at designated properties during business hours but is required to be on call after office hours in cases of emergency situations.Job Responsibilities/Key Tasks(External)Drive Safety and Sustainability

  • Ensure compliance with Environmental Management Systems (EMS) and Workplace Safety and Health (WSH) standards.
  • Report accidents, near misses, and incidents according to WSH protocols.
  • Maintain environmental sustainability and regulatory compliance in all maintenance
  • Prepare compliance reports for EMS standards.
Drive continuous Improvement
  • Engage in initatives to improve time, cost and quality management
  • Provide input on smart facilities management trends and technologies
Manage Facility Operations
  • Conduct routine inspections, schedule repairs, and implement preventative maintenance
  • Track and close fault calls, complete custodial service documentation, and respond to user requests.
  • Inspect and track building assets, coordinate maintenance, and procure items as needed.
  • Deploy personnel to address facility-related feedback and review progress reports for actionable insights.
Vendor and Contract Management
  • Coordinate with vendors and service providers for maintenance tasks and manage contracts to meet quality and compliance standards.
Others
  • Undertake any assigned projects / duties directed by Management(if any)
Job Requirements
  • Proficiency in MS Office Applications / Microsoft Power Platform applications
  • Strong organizational and problem-solving skills
  • Customer-service oriented in communicating/collaborating with internal/external parties
  • Team player with strong communication and interpersonal skills
  • Demonstrate a positive attitude with a keen sense of responsibility and high motivation.
  • Resourceful, pay attention to detail, function well in a team, and work independently with minimal supervision.
  • Organised with the ability to manage conflicting timescales and priorities
  • Excellent time management and multi-tasking ability
  • High adaptability to changes in a fast-paced environment
Professional Qualifications & Relevant Experience
  • Minimum Diploma in Facilities Management, Estate Management, Building or relevant related fields
  • 1-3 years of relevant experience in Facilities Management
  • Knowledge of BMSMA and WSH is an advantage
  • Knowledge in URA, SCDF Regulations is an advantage
