OVERALL SUMMARY





1.1. The Security Coordinator is responsible for ensuring that vessels transiting piracy high-risk areas are provided with approved armed guards and that the highest security standards are maintained in accordance with the IMO and industry best management practices (MSC Res. 324(89), MSC.1/Circ.1339).

1.2. The role requires close coordination with relevant departments, vessels, and external contractors to support security arrangements, risk assessments, and incident communications. The Security Coordinator also assists in evaluating and auditing security service providers, monitoring market cost trends, and preparing regular management reports on the usage and cost of armed guards.

1.3. The position also requires monitoring of developing security scenarios and using the appropriate software to alert the management regarding the security exposure for the vessel and shore-based office staff.



2.

AREAS OF RESPONSIBILITY




2.1 Coordination and Operational Support




Work closely with the Operations Department and CSO to coordinate and confirm the deployment of approved security guards for vessels transiting piracy High-Risk Areas (HRA). Provide regular situation updates by circulating daily reports on vessels currently transiting or scheduled to transit HRAs. Serve as the main point of contact for the Chartering and Operations Departments on all matters related to armed guards, including availability, costs, and deployment details. Oversee the planning, coordination, and monitoring of armed guard embarkation, voyage activities, and disembarkation in accordance with Company procedures and Best Management Practices. Support the completion of Oil Major security questionnaires for HRA transits and maintain accurate records of vessel hardening and preparedness data.

2.2. Compliance and Documentation




Ensure all vessels transiting HRAs fully comply with BMP guidelines and that Masters' checklists and related documentation are updated and completed prior to each transit. Review Charter Party clauses and requirements regarding the carriage of armed guards, ensuring Charterer obligations are met and required documentation is submitted. Liaise with vessel Administrations and security providers to obtain necessary permits and coordinate timely embarkation and disembarkation of security guards. Provide vessels with clear operational instructions on security guard procedures and communications with providers, agents, Charterers, and port authorities.

2.3. Monitoring and Voyage Oversight




Monitor vessel progress, reporting to authorities, and communications with security providers throughout HRA transits. Keep relevant departments informed of vessel status through daily updates. Upon completion of transit, ensure timely processing of invoices from security providers and agents, and provide operators with required documentation for Charterer billing.

2.4. Records and Cost Management




File and preserve all relevant communications and correspondence related to security operations. Maintain accurate cost records (e.g., in spreadsheets) for owners' and Charterers' accounts. Maintain cost agreements with security providers and reconcile them against actual costs after each transit to ensure transparency and accuracy.

2.5. Provider Audits and Evaluation




Assist in auditing new security providers and prepare evaluation reports for Management review. Support regular due diligence audits of existing service providers involved in armed guard and ASEV (Armed Security Escort Vessel) services.

2.6. Security Intelligence and Communication




Monitor security-related information from government organizations, maritime administrations, industry sources, and reputable news channels.

Disseminate security updates and piracy incident reports to vessels and internal stakeholders through regular broadcasts.


2.7. Stowaway and Contraband




Coordinate stowaway search arrangements at high-risk ports using shore contractors, in line with P&I recommendations. Arrange for contraband search where required and coordinate preventive actions to be employed. Liaise with operators to ensure related costs are properly reflected in voyage accounts and that invoices are reviewed and processed promptly. Prepare and submit quarterly and annual management reports covering armed guard usage, provider performance, stowaway search activities, and overall security costs.

QUALIFICATION / EXPERIENCE




Diploma holder and above 1-2 years relevant working experience Good IT knowledge, e.g. Microsoft Word, Excel, Email Good knowledge of technical processes Good negotiation skills * Ability to do analysis and reports.
