National Gallery Singapore is a leading visual arts institution which oversees the world\xe2\x80\x99s largest public collection of Singapore and Southeast Asian modern art. DESIGNATION : Executive/Senior Executive (Outreach & Learning)

RESPONSIBILITIES
In this contract role, the incumbent will work closely with the Learning & Outreach team to support, facilitate and implement events and programmes in and out of the Gallery, to nurture visual arts appreciation with the Gallery\xe2\x80\x99s artwork collection. This role involves working with internal and external stakeholders to enable a smooth implementation of events and programmes.

  • Undertake and prioritise the day-to-day tasks that will ensure the implementation and smooth running of events and programmes held in the Gallery and off-site.
  • Organise operational details for programmes including coordination, registration, scheduling, calendaring of outreach programmes and surveys.
  • Provides administrative support for the division.
  • Provide procurement support to the team, including procuring quotes and approvals, tallying and tracking of PO-related matters for Division\xe2\x80\x99s activities and events.
  • Assist in monitoring and tracking the division\xe2\x80\x99s budget.
  • Coordinating and executing various events for internal and external organisers.
  • Work with internal and external partners to ensure all event requests including but not limited to logistics are met with.
  • Attend site recee with event organisers and vendors for feasibility studies and provide advice on suitable setup based on existing resources.
  • Responsible for overseeing setup, conducting pre and post event inspection of venue spaces and providing support for ad-hoc request and emergency response on sit.
  • Conduct on-going evaluation of the programmes and services and implement improvements as necessary.
  • Handle ad-hoc assignments as and when required.


QUALIFICATIONS
  • At least 2 years of relevant work experience in education, arts-related, or event management portfolio.
  • A proactive team player who is resourceful, people-oriented, meticulous, hands-on and able to manage multiple projects simultaneously.
  • Possess positive attitude and excellent interpersonal, communication and organisational skills.
  • Must be able to work nights, weekends and in accordance to operational schedules when needed.
  • Good working knowledge of Microsoft Office Suite.
