Job Description


UWCSEA has a permanent vacancy at its Dover Campus for a Facilities Assistant Head of Department (Soft Services) to start in January 2024.

Reporting to the Facilities & Operations Manager, the incumbent will oversee the day-\xc2\xadto-\xc2\xadday facilities operations and help execute the college\'s operational goals.

Main Responsibilities

  • Responsible for overseeing soft services operations not limited to; Housekeeping, Landscape, Waste, Help desk, Reception, AV & Event, Pest Control and Security.
  • Improves the services by evaluating, and redesigning processes; implementing changes including working and developing with our internal team members and service partners.
  • Manage in-house team and partners on routine services such as periodic cleanings, refuse disposal, pest control to ensure the campus is well maintained and pest free.
  • Periodically inspect areas of the campus to ensure all areas are kept in a clean, safe, and operating condition.
  • Lead in ad hoc projects such as new facility design and fit out in a planned manner ensuring that any work undertaken is completed within stipulated timeframes and given budgets with the desired outcomes.
  • Lead a team of service manager/executives and provide guidance in adopting and implementing industrial best practice.
  • Drive the soft services team to exceed all prescribed KPIs and audit targets.
  • Plan dept work plan and school break maintenance-related works such as Facade painting, deep cleaning works, etc.
  • To deliver business and financial acumen (OPEX & CAPEX) in planning, managing, monitoring high value contracts per routine cycle
  • Schedule and conduct monthly performance reviews with partners to establish standards of achievement and areas of improvement.
  • Develop tender specifications and participate in the tender process.
  • Manage and address feedbacks from internal/external users.
  • Create presentations, SOPs, documents and reports as required and help lead weekly departmental team meetings and to undertake any other duties that may be required to meet the demands of the service. These may be varied from time to time to meet the needs of the service.
Person Specifications
  • Minimum Degree in related discipline.
  • Minimum 5 years of all-rounded facilities management experience preferably in institutional, educational, research or large scale commercial developments;
  • Prior work experience in workplace/hospitality services will be an advantage.
  • Excellent written and oral communication skills, including the ability to draft correspondences and other communications quickly with minimum direction.
  • Keen attention to detail with ability to track and manage multiple projects at one time.
  • Excellent leadership skills, interpersonal and organisational skills.
  • Meticulous, possess initiative, with the ability to multitask, organise and prioritise work.
  • Able to work cohesively in a team\xc2\xad based environment as well as independently, demonstrate initiative and able to work under pressure. Keen learner who is able to adapt and work with minimum supervision.
  • Proficiency with Microsoft Excel, Word and PowerPoint, databases, a high level of computer literacy including web technologies and social media.
