Job Description


This is a permanent role position based in Paya Lebar Singapore (PLQ1).
Managing workplace maintenance and facilities, HSSE, gathering and analyze workplace optimization data.

We are building competencies and strength in the admin team to support our overall team objective, which is to deliver a fit for purpose, highly functional and motivating workplace for our 800+ Maersk colleagues. The person best fit for the role should possess great teamwork, has good people skills, and can be relied on to work independently to fulfil tasks objectives.

The role reports into the Admin Manager and the key responsibilities are:
1. Attend to workplace related maintenance, servicing & repairs

  • Conduct regular checks on grounds to ensure office space and facilities are well maintained
  • Liaising with building mgmt./contractor and monitor to rectify all workplace faults & defects
  • Supervise the delivery of regular workplace maintenances & inspections
  • Onsite to oversee weekend office works when required

2. Manage vendors and workplace contracts
  • Keep proper record of legal contracts and vendors information, monitor expiry of contracts
  • Conduct performance reviews and service quality feedback on service providers, ensure alignment to contract & service quality expectations
  • Source and recommend alternative vendors/ service providers to improve service experience

3. Support workplace health, safety & security and environment related matters (HSSE)
  • Ensure sufficient and current safety supplies in stock, order and replenish as required (office and warehouse)
  • Conduct active and regular checks for workplace hazards and near misses and take timely actions to remove workplace risks
  • Conduct indoor air quality checks, when required to meet health standard
  • Support the execution of HSSE initiatives and events (by Maersk Safety Team)
  • Review, recommend and update workplace policies/process in the Workplace Handbook

4. Ensure the office layout plans are updated on a current basis (using AUTOCAD) and available when requested
5.Maintain a complete and current list of office & storage furniture inventory
6. Support office manager with workplace optimization data and assist with projects when required e.g., source alternate BCP sites
7. Recommend options (tech/process/engagement model) that would increase workplace effectiveness and efficiencies
8. Cover work for team when resources are stretched e.g., reception/critical events
9. Any other ad-hoc duties relevant to achieve team objectives

We are looking for
  • Minimum 3 years of relevant experience
  • Strong team player with good communication and listening skills
  • Proficient in Microsoft software; excel, word, PowerPoint, and outlook
  • AutoCAD knowledge would be a PLUS, training is provided.
  • Basic understanding on building facilities, technical knowledge of office M&E services and maintenance experience is required
