Job Description



: Responsible for building a robust procedure for overall effective maintenance of the facility under your charge. Scope of Management / Supervision will be :-

  • Clients FM contracts
  • Technical staff including training requirements
  • Service Partners
  • PPM contracts with Service Partners
  • Soft Service Contract
  • Small projects and space planning
  • Reactive maintenance SLAs
  • Space Vacancy Report
  • Energy Initiatives Implementation and Reporting
  • Ensure compliance with legislation & H&S practices and procedures
  • Invoice processing in relation to Clients requirements
  • Attend Client, Service Partner contract meetings, produce minutes and ensure SLA delivery
  • Arrange and attend Landlord liaison meetings, produce minutes and ensure Client is kept informed of issues
  • Providing timely reports to the Account team and the Operations Manager ensuring they are aware of all aspects of the clients operations across the portfolio.
  • Ensure accurate records and documentation
  • Invoice processing and raising orders on both clients and management system
  • Updating portfolio records on client base Real Estate Management package
  • Control of clients procedures, monitoring the review and update process
  • Review plant and system performance and alert client to areas of concern
  • Preparation of reports, quotations pertinent to contracts
  • Understanding of the Clients business goals and objectives
  • Establish frequent buildings inspections / audits looking at all areas of the site to assist in operations management with other contractors Record observations & actions to assist in a proactive management approach
  • Asist & support the Client Quality manager in delivering to COB office plans
  • Assist & support the review of contracts, update and collate contract matrix ensuring in line with list of approved suppliers.
  • Changi operation centre floor area at about 400,000sqft for 16 floors
  • Shenton front office area at about 180,000 sqft for 6 floors comprising of traders floors and critical equipment
Operational
  • To carry out all the other tasks that are expected of the Integrated Solutions team such as but not limited to attendance at handover meetings and project meetings as required
  • Attendance at Client and team meetings
  • Management of suppliers in the delivery of subcontracted services
  • Agreeing with client and engineering teams and then communicating and arranging shut down of systems as and when required.
  • Out of hours work will be required as operational matters dictate
  • Management of the engineering technicians, cleaning staff and other staff grades assigned to the given portfolio including performance management and task management
  • Management of local site budget
Health & Safety
  • Ensure that the companys Health and Safety policy is adhered to in all respects. As per the following but not limited to:
  • Ensure the competency in all respects of the suppliers delivering subcontracted work
  • Ensure that all staff have the required level of PPE and are conversant in its use and that all equipment used in the service delivery is fit for purpose and tested in accordance with H&S and statutory requirements
  • Delivery of and ensuring the delivery of appropriate team and supplier inductions as and when required
  • Ensure that risk assessments and method statements are fully up to date and are in use and that the Permit to Work system is adhered to.
  • Ensure that specialist training is carried out as and when required (i.e. working at heights)
  • Identify and escalate where there is a difference between client and Health & Safety systems.
Qualifications
  • Minimum of 7 years experience in Facilities Management is essential
  • Professional tertiary qualification is desirable
  • Hold a detailed understanding of building procedures and infrastructure
  • Proven experience of having a flexible approach and the ability to work under pressure
  • A working appreciation of contracts and contract management,
  • A good level of IT literacy Word, Excel and Outlook
  • Effective team leader and an excellent communicator
  • Ability to negotiate and influence across Client and Supplier organizations
