  • Communicate with manning agencies regarding readiness of crew
  • Check and record compliance of seafarer documents with respect to STCW/ Flag State & Owner requirements
  • Check and plot vessel ETA/ETD in order to arrange cost-efficient crew changes
  • Arrange/ issue invitation letters for visa applications where applicable
  • Check completeness of seafarer data set in Mariners (i.e. Next of Kin, Beneficiary, Bank data, contact details etc)
  • Add contract details to Mariners taking into account correct contract length, leave days & Wage Scale
  • Prepare and send crew change messages to all concerned parties containing all required information to ensure a smooth crew change
  • Compare husbandry fees where applicable
  • Book flights taking into consideration cost, luggage allowances & routing
  • Issue Company Letter of Guarantees where applicable (direct crew)
  • Issue Indemnity Letters where applicable
  • Arrange on/offsigning in Mariners
  • Prepare Personal Record Cover Page and forward to Accounts Department for Officers on TT-vessels
  • Follow up on outstanding flag state documents
  • Check that all required appraisals have been entered correctly in Mariners
  • Additional duties as assigned by Crew Superintendent/ Manager Crewing
  • Disbursement and invoice approval via DMWS for flight invoices, agency statements and port agency disbursements
  • Acting as "Single Point of contactaEUR for the vessel in regards to crew change arrangements and for all HA/ SPA as well as FWA
  • Distribution of received HA/ SPA or FWA to concerned parties
  • Monitoring, checking and approval (as first approval level - Junior), Mariners data entry of HA/ SPA
  • Acknowledging, checking for Policy compliances and distribution of CTM requests to concerned parties
  • Report on the performance of the quality management system and opportunities for improvement to immediate supervisor and/or top managementDuties & Essential Job Functions

Job Type: Full-timeSchedule:
