You will join our APAC Management Unit We invite you to bring your expertise into play as you contribute to supporting our senior leadership in preserving the good condition of infrastructure, smooth office operations, and ensuring that our office facilities are safe and well-functioning. Reporting to the Head - Facility Management & Real Estate, MEAP, and working closely with the Regional Director, APAC, your role is based in Singapore where you will work and collaborate closely with the senior leadership and local business admin across Asia Pacific in overseeing the day-to-day operations of our offices, ensuring that it is operating efficiently and effectively. The portfolio for this role includes the facility management and real estate for our offices in the APAC region which cover Singapore, Malaysia, China, Hongkong SAR, Australia, South Korea, and Japan You should have strong organizational skills with a facility and office management work background; excellent people skills; sound and relevant working experiences; a proactive problem solver with exceptional communication skills and meticulous attention to detail.
Your key tasks and responsibilities are:
Managing facility management operations for all offices in APAC
Managing vendor relationships, coordination with relevant local authorities, and negotiating contracts for services
Liaise with relevant Stakeholders, Landlord on regular basis and initiate appropriate actions as and when required
Developing and implementing office policies and procedures and ensuring compliance with all applicable policies and processes for all activities under FM
Providing and managing FM-related procurement such as office supplies and inventory, ordering new supplies as needed.
Coordinating and managing office moves, expansion, renovations, and other projects which includes preparation of business cases to support the related decision.
Preparing FM budgets and forecasts, involve in monthly reviews of FM financial results, and FM expenses management.
Ensuring compliance with safety regulations and maintaining a safe work environment.
Responsible for routine and seasonal FM activities such as ISO audits, review and maintenance of FM infrastructure, Space management and Asset management, etc.
Preparing FM-related reporting such as CSR reports, Office lease management, quarterly reporting, waste management reporting, etc.
Supporting Real Estate (RE) Management, periodic review of Real Estate requirements, RE strategy alignment with Global Strategy, and preparation of APAC RE strategy.
Any ad hoc tasks as required.

Degree in relevant discipline
Minimum 8 years of relevant working experience covering the APAC scope in medium size MNCs
Good computer skills including Microsoft Outlook, Team, Word, PowerPoint, and Excel
Good commercial sense and negotiation skills
Well organizing and possess good interpersonal skills
Self-motivated with the aptitude of handling fluctuating volumes of work, and the ability to prioritize work to meet deadlines.
Excellent time and project management skills. You have clear systems and the composure to deal with multiple tasks at once.
Mature demeanour, proactive and a strong sense of responsibility
Ability to communicate effectively both written and verbal.
Ability to strongly coordinate across all levels of organization (internal and external)
