Job Description

The Cat ClinicWe are looking for a Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. As a Receptionist, you will be the first point of contact for our company. Our Receptionist's duties include offering administrative support across the organization.Receptionist responsibilities include:

  • Booking and recording of clinic appointments using online system
  • Deal with booking of appointments by phone, e-mail, or face-to-face
  • Schedule and confirm appointments and maintain clinic calendars
  • Greet and welcome guests as soon as they arrive at the clinic
  • Direct visitors to the appropriate person and clinic
  • Answer, screen and forward incoming phone calls
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Order front office supplies and keep inventory of stock
  • Update calendars and schedule meetings
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
  • Assistance to coworkers for any other duties and responsibilities that may be assigned by the management/heads from time to time, within the category of employment in the organization and for the effective implementation, maintenance and continual improvement of the Company
Receptionist requirements include:1. Proven work experience as a Receptionist, Front Office Representative or similar role2. Solid written and verbal English communication skills3. Proficiency in Microsoft Office and Google Drive4. Hands-on experience with office equipment5. Professional attitude and appearance6. Ability to be resourceful and proactive when issues arise7. Excellent organizational skills8. Multitasking and time-management skills, with the ability to prioritize tasks9.
