OUR POSITION IN A NUTSHELL

Our Corporate Housing team is expanding rapidly as the industry bounces back with enthusiasm and this is a newly-created role as our team is growing. The department is formed of two teams who work closely together: Reservations and Guest Services. This position is within the Guest Services specialty and focuses on providing client service once the once the reservation has been confirmed.

You may be wondering exactly what \xe2\x80\x9ccorporate housing / corporate temporary accommodation\xe2\x80\x9d means! This position involves all daily customer facing tasks including the flow of move-in/move out paperwork, answering queries from clients and service providers, ensuring records are accurate, contributing to the invoicing process, and ensuring a best-in-class client and guest experience for the duration of their stay. You will be using purpose-built software to manage these tasks and will be in contact with clients & guests via email and on the phone.

WHAT YOU WILL ACCOMPLISH

Guest Services Specialty

  • Liaise with the Reservations team to ensure all reservation and contact details for the client\xe2\x80\x99s chosen option are correct.
  • Manage and execute paperwork and system entry, including the flow of move-in / move out.
  • Coordinate & conduct pre-arrival calls; ensure move-in procedures are delivered; resolve any move-in issues.
  • Follow up on Intent to Vacate notices and ensure move-out procedures are delivered; resolve any move-out issues such as damage claims.
  • Process all extensions with client, property, and guest.
  • Set up inventory units by organizing furniture, utilities, maid service etc. when required.
  • Provide escalation support for guest, client, property, and provider issues.
  • Escalate major service failures to management.
  • Liaise with finance to ensure provider invoices match the reservation and the system where necessary.
WHAT WE\'RE LOOKING FOR
  • Previous administrative experience in any type of company (experience related to our industry would be a bonus but is not essential, for example hotel reservations, real estate, or serviced apartments)
  • Strong experience using Microsoft Office Suits/O365 in a business environment
  • Demonstrated experience learning & using in-house specialist systems
  • Ability to work effectively in a team environment.
  • Strong ability to prioritize and apply problem-solving skills
  • A client-focused approach
  • Strong & professional communication skills.
  • Your own international travel experience and/or having previously worked in a global environment would be advantageous but is not essential
