Job Description


:

The HR Business Partner will be responsible for the overall management of Human Resource, Office and Administration, IT, Corporate Secretarial functions for Ed Broking Companies situated within the Asia-Pacific & MENA Region and to achieve business objectives. To align with the organization’s direction, to develop a productive workforce and maintain conducive working environment for employees.

Main Responsibilities:

HR

  • Responsible for full spectrum of HR duties including recruitment, work pass application & renewal, personnel administration, compensation & benefits administration, onboarding & offboarding, payroll, leave management, performance management, employee relations, training & development, compliance with statutory regulations.
  • Proactively supports the delivery of HR Processes and partnering with various broking units to roll out HR initiative such as manpower planning, recruitment, performance management, people development, employee relations activity.
  • Educate and develop broking managers in all aspects to ensure consistency and effective practices are in place and to enhance employee experience.
  • Developing and implementing HR strategies and initiatives aligned with the overall business strategy.
  • Lead a team of 2 each based in Singapore and Dubai.
  • Ensure employees’ database are updated.
  • Handle expatriates’ employment, relocation and tax matter.
  • Review and update HR policies & processes and ensure compliance to statutory and group requirement.
  • Prepare and process monthly payroll, CPF/DEWS contribution, annual IR8A/A8A tax filing timely and accurately.
  • Prepare payroll forecast, budgets and report as required by the management.
  • Prepare all types of employment-related letters including employment contracts, confirmation letter, resignation acceptance letter, termination letter, increment letter and bonus letter.
  • Handle recruitment from sourcing to placement, drafting of the job description, job posting, talent search, liaising with recruitment agencies, arranging interviews, employment terms and onboarding.
  • Handle group insurance review & renewals and assist with employees’ insurance matters.
  • Handle CPD training plan and identify training needs.
  • Ensure timely submission of all statutory filings (i.e. MAS Broking staff appointments, MOM Registry update etc.)
  • Ensure timely submission on group HR reporting.
  • Handle grievances and disciplinary issues.
  • Manage conflicts and situations.
  • Coordinate, conduct, prepare and schedule performance management briefing, guidelines on objectives setting, reviews and calibration.
  • Support annual internal and external audit.
  • Identify and work on government related grants.
  • Organize Company Annual CNY, Christmas, Long Service Award, Team Building, and other activities.
  • Participate in government surveys.
  • Involve in employee engagement.
  • Handle queries from employees.
  • Support ad hoc HR related tasks, reports and projects assigned locally and regionally.
Office/ Administrative/ IT
  • Oversee office management function at Singapore and Dubai office and ensure smooth running of the offices.
  • Review and coordinate office vendors’ contract renewals.
  • Ensure all office supplies and facilities are available and functional.
  • Liaise with office vendors for regular maintenance servicing.
  • Work with London IT and local outsourced IT provider to resolve and troubleshoot employees’ IT issues timely.
  • Coordinate travel bookings and accommodation arrangements with appointed travel agent.
  • Verification of related invoices for finance’s payment processing.
  • Maintain filing system including annual archive exercise.
  • Be familiar with the Company Microsoft OneDrive/SharePoint/Teams e-filing system and access set up.
  • Be familiar with the Company systems.
  • Manage the Company’s banking profiles and users.
  • Support ad hoc office/IT related tasks, reports and projects assigned locally and regionally.
Corporate Secretarial
  • Taking quarterly Board minutes.
  • Liaise with outsourced company secretary in ensuring company information are up to date.
  • Managing Statutory government portals.
  • Handling confidential filing and information.
Representing Ed:
  • Champion the Ed name and core values.
  • Represent Ed with clients, agents, suppliers and other organisations.
Compliance:
  • Comply with relevant legal, regulatory and compliance requirements, E&O compliance procedures and quality initiatives.
  • Escalation of any potential E&O's to Division Head / Directors at the earliest opportunity.
  • Ensure completion of all mandatory Company training and to deadline.
Requirements / Skills Required
  • Only Singaporeans & SPRs need apply.
  • Min. 5 years of HR generalist experience with good knowledge in all-round of HR and Office/IT functions & practices
  • Preferably from Insurance/Reinsurance industry or MAS-regulated firm.
  • Preferably with Relevant HR professional certificate/qualification.
  • Excellent leadership, communication, people and interpersonal skills.
  • With business acumen, accuracy and attentive to detail.
  • Strategic business partnering and analytical skills.
  • Collaborative team working approach.
  • Ability to prioritise and organise own workload.
  • Strong understanding in Singapore Employment laws and regulations, including resourceful in applying for subsidies, grants, and claims etc from various related statutory board or government ministries and etc.
  • Keen with IT troubleshooting.
  • High integrity with good work ethic.
  • Proficiency in Microsoft Office 365 (Outlook, SharePoint, OneDrive, Teams, Excel, Word) and Adobe.
