You will join our Ramboll Support Organization As our Executive/Senior Executive \xe2\x80\x93 HR for 6 months maternity cover (estimated July 2023 to Dec 2023), you will be part of the larger multi-disciplinary APAC region. Your role is based in Singapore where you will work within a diverse business support team as well as other colleagues in the Asia region. Your key tasks and responsibilities will be to support the HR operation needs of various business units, HRBP, HR Center Of Excellence (COE) and most importantly, our employees in Singapore. The roles & responsibilities include all HR related operational activities of our employee\xe2\x80\x99s career cycle. You will be dealing with many stakeholders on a daily basis to support them with tasks related to employees, monitoring and producing HR-related reports and ensuring compliance with relevant local and national regulations. To be successful in this role, you should be familiar with HR operational processes and HR software HRIS, Learning Management systems and Applicant Tracking Systems. You need to be able to build strong relationships with your stakeholders and be able to work with various teams collaboratively. You will ensure our HR Operations meet our business needs and are functional and cost-effective. Roles and Responsibilites
Assist with monthly payroll related matters such as collating and checking of payroll inputs, tracking of site staff OT, validation of payroll sheet for salary payment, managing and handling employees\xe2\x80\x99 records in Info-tech payroll system, filing of income tax clearance, IR21 for foreign employees etc.
Ensure timely & accurate submissions in all government and related claims, e.g., CPF, Childcare Leave, Maternity/Paternity Leave, NS makeup claims, income tax (IR8A & IR21) matters etc
Administer employee benefit program, such as renewal of Workmen Injury Compensation (WIC) insurance, taking care of Employee Health and Safety and wellbeing activities etc
Assisting in submission of MOM surveys such as Labour Market Survey, updating business census etc.
Provide end-to-end employee Lifecycle support including onboarding and offboarding processes which involves coordination with other support teams (IT/FM/Finance) on relevant systems, such as Workday employee ID set up, induction, calculating employee official last day of employment, annual leave encashment, returning of offboarding documents etc.
Prepare HR letters (e.g., offer letter, employment certification letter, Visa Invitation, acceptance of resignation letter, off cycle salary increment letter etc.)
Liaise with MOM and employee to manage entire Work pass process such as work pass applications, issuance, renewals and cancellations
Maintains and supports a variety of employee related reports both for HR and Business purposes
Maintaining employee\xe2\x80\x99s personal file, leave records and all other employee records in HRIS System - Workday
Work with and support the HRBP and HR COE\xe2\x80\x99s to implement changes in policies and processes based on laws, compliance requirements, trends and business changes
Supporting the HRBP, HRD, Legal and Compliance functions in HR related projects roll out
Provide advice and handle all employee enquiries on HR related matters
Required Knowledge & Skill:
Strong organizational skills and the ability to maintain detailed records
Strong sense of confidentiality, ethics and integrity
Team player with ability to work well in team settings and liaise with other HR colleagues located overseas, as well as ability to work independently, with little supervision
Client service minded and ability to prioritize and manage time well to ensure timely service delivery
Ability to liaise cross-functionally to develop a rapport with peers and other functions
To be pro-active in approach and a catalyst for change
Ability to work effectively under tight deadlines and manage ad-hoc requests in a timely and quality driven manner
Interacting confidently with various levels including senior staff

Diploma or Degree in HR Management or Business Administration/ Management or equivalent
2 to 4 years of relevant experience in HR operations and payroll for consultancy or engineering industry
Possess strong knowledge of Singapore payroll and MOM employment regulations
Candidate with experience in using Workday, Infotech payroll software and Smart Recruiters or similar HRIS software
Excellent MS Office skills especially MS Excel, MS Word & MS Power Point.
Ability to communicate effectively both written and verbally English to liaise with our English-speaking colleagues
