AUDIT REVIEW & PLANNING: Periodically review the adequacy and appropriateness of the organization's policies, procedures, complaints handling program, authority matrix, governance, risk management, quality assurance and internal control. * Analyzes and provide insights on the current business environment and market conditions;
  • Reviews and recommends to improve the, financial reporting, operational, risks, governance and productivity strategies that are currently in place;
  • Objectively reviews an organization's business processes for continuous improvement;
  • Evaluates the efficacy of risk management procedures that are currently in place
  • Reviews effectiveness of the current internal controls;
  • Reviews whether the goals and objectives of the business are being met;
  • Conducts reviews of unit activities within the organization, at appropriate intervals to determine whether the units are effectively carrying out their functions of administration, accounting, safeguarding of assets, management stewardship and control in accordance with management's instructions, policies, and procedures;
  • Submits risk based annual internal audit plan which will highlight the areas with potential risk which may include financial and non-financial areas. The financial areas cover all those business operations involving accounting and financial transactions such as accounts payables, accounts receivables, sales, procurement, accruals and provisions, inventories and petty cash etc. Whereas, the non-financial areas cover those operations which do not involve direct accounting and financial transactions such as bidding and estimations, customer service, performance management, training, fleet management, health safety and security, disaster recovery, etc; and
  • Conduct review whether each unit of the organization are meeting the goals and objectives of the business. These includes reviewing of records and data of the current process and unit performance of their KPIs/KRAs/Goals including the previous audit findings and identify risks, process gaps and vulnerabilities. The auditor uses this as reference in designing the audit program and completing the audit checklist.
EXECUTION OF THE AUDIT: * Prepares and performs interview using internal control questionnaire of all the process steps and functional areas;
  • Obtains feedback and assesses the internal control risks at low, medium or high level and designs the audit procedures on the basis of the resulted conclusion in the self-assessment ICQ;
  • Obtains financial and operational data and perform audit tests and procedures which includes but not limited to:
  • Surprise cash counts reconciliations (at Tigatto, Callawa, & Main Office);
  • Regular cash counts (at Tigatto, Callawa, and Main Office);
  • Variance reviews;
  • Inventory count;
  • Confirmation of AR;
  • Accountability reviews;
  • Performance versus plan;
  • Confirmation of receipts and expenses;
  • Bank verification;
  • SL review;
  • Supplier confirmation;
  • Site visit and inspections;
  • Process walkthrough;
  • Checking of Bank Reconciliation and Cash Position;
  • Identify the analytical, substantive and control test procedures;
  • Review of all supporting documents attached to disbursement vouchers;
  • Review of Production Report and Fuel Consumption; and
  • Review of the Company's Financial Statement including but not limited to Balance Sheet, Income Statement and Cash Flows.
CONDUCTS AUDIT FIELD WORK: * Identify the internal control weaknesses, non-compliances and ISSUES ON policies and procedures, overriding of financial and approving authority limits, potential risks, internal controls weaknesses, evaluate the cost of the procedure, analyze the cost of the procedure with the benefits associated with that particular procedures, operational weaknesses and areas requiring immediate management's intentions for improvement;
  • Conducts process review and evaluates existing documentation such as flowcharts, manuals and departmental control policies;
  • Create audit trails that trace specific processes from start to finish;
  • Conducts interviews and process observations if audit trails or document reviews don't fully answer auditor's questions; and
  • Performs internal control audit procedures and are capable of determining if employees are complying with internal control directive.
CONDUCTS INTERIM BRIEFINGS AND CLOSING MEETINGS: * Drafts the preliminary audit findings and calls for a closing meeting with the management and process owners;
  • Discuss the preliminary audit findings, discuss all details and try to get on one page with the process owners relating to the audit findings;
  • In case the process owner disagrees with the noted audit finding request them to provide appropriate and sufficient audit evidence in support of their claim. In case the process owner is unable to provide documentary evidence and only provide justification of any of the irregularity in the process evaluate the explanation with due professional care and judgment and if it seems reasonable drop the audit finding or make it as reportable audit finding if it is otherwise;
  • Reviews the internal audit field work and files thoroughly;
  • The auditor is required to prepare the file with professional due care and cross refer the audit file;
  • The audit file must contain the self-assessment control questionnaire, management feedback, policies and procedure, detail of audit sample, audit program, details of audit field work and draft audit finding;
  • Each audit finding must be supported by the documentary evidence and the auditor shall correlate all audit findings with the supporting documents and may conduct for further audit work and more explanation where the audit finding is not sufficiently supported by the documents; and
  • The auditor may call for interim briefings to clarify audit findings or may secure additional supporting documents.
AUDIT REPORTING: * Report regularly to the higher management on the progress of audit activities whether:
  • Internal audit plans are adequate;
  • Audit activities have been directed toward highest exposures to risk and toward increasing efficiency, economy, and effectiveness of operations, and attainment of business objectives;
  • Appropriate action has been taken on significant audit findings;
  • Promptly reports the results of examinations their findings and recommendations to management to ensure that appropriate action is taken with respect to any deficiency noted.
  • Prepares interim report which generally includes sensitive or significant results the auditor feels are necessary to share immediately with the business owner.
  • Prepares summary of findings, action taken and status of outstanding auditees action items.
  • Prepares also a final report which is more formal and includes a summary of the procedures and techniques used in completing the audit, a description of audit findings and suggestions for changes or improvements to internal controls and control procedures.
  • Prepares internal audit report should be prepared with utmost care and high degree of accuracy.
  • The auditor shall also submit a summary of the audit report containing the audit highlights, major findings, business implications and recommendation. He will also submit on a monthly basis a progress report on the outstanding action items and the items resolved during the period. He will also submit monthly management insights based on the synthesized YTD or annual audit findings as an input for management's attention and decision.
III. Peripheral Functions * Review of KEAN liquidation of employee advances.
  • Review of employees' payroll complaints of KEAN.
  • Conducts Spot Cash count on KEAN's Treasury.
