Job Summary: To coordinate and monitor operations process supporting LPG Trading desk
Main Responsibilities

  • Handle LPG operations in the Asian and other regions
  • Handle and follow through LPG purchase/sale contracts and all amendments related to the contracts. Well versed with contractual terms.
  • Follow up compliance with deadlines for all contracts and operations works
  • Coordinate loading/discharge of sea-going vessels including vetting through the time chartered party documents as well as spot chartered documents for all operational terms and shipping operating costs.
  • Coordinate LPG floater operations proactively, including scheduling for the floaters and shuttles and in all aspects of shipping operations.
  • Management and reporting of the master inventory of the cargoes coming in and going out accurately and factually.
  • Coordination with trading desk and the chartering desk for the purchases of the bunkers for the TCP floaters and shuttles and management of the bunkers inventory accurately and factually.
  • Clear and detailed instructions for all operations works including to various vendors such as ship agents, inspectors, STS providers, expeditors and masters, always consistent with contract terms - cover all operational functions related to the contract including adhering strictly to the SOPs set for the management of the floaters and shuttles as well as other physical shipments as assigned.
  • Receive and understand all information on the Financing side of the business (issuing bank, advising bank, L/Cs, open account etc.) and working closely with various depts including tradefinance and account in the management of shipping documents for presentation under LCs and SBLCs as well as during the operations of the vessel loadings and discharge.
  • Follow up on inspection processes including proper documentation and reports as per the SOP guidelines set.
  • Coordinate and monitor STS operations which include liaising/scheduling and coordinating with STS provider, ship agents, inspectors specialized in refrigerated cargoes to pressurized LPGs and the masters of the TC vessels. All instructions are to be properly documented and reports are to be drawn up and shared internally as per the SOP set.
  • Day to day follow up on contracts and deliveries including related operational matters
  • Nominations to vessel shipbrokers, inspectors and other parties including checking of fixtures on subs, highlighting to relevant trader/finance/RISK any points in the fixture which can have direct or indirect consequences on operations, including related contracts - cover operational aspects related to the chartered vessels
  • Handling of any designated storage contracts and operations
  • Responsibility for insurance and certificates and proper and timely documentation and reporting.
  • Responsibility for documents issued correctly including BLs and other shipping documents, various shipping LOIs.
  • Invoicing and monitoring of accounts (proformas, credit notes, debit notes) i.e. follow up on cargo invoices, including inspection invoices and other related invoices to the operations and timely payments of various payables.
  • Presentation of documents to the bank and closely liaising with the trade finance in coordinating the LCs and invoices and documentations.
  • Check of all invoices received – correct data and figure
  • Main point of contact for any operational troubleshooting and ability to react promptly to deal with the matter. Follow up with reports to the traders and your Line Manager promptly.
  • Prepare, review and distribute reports, feedback, analysis, and other market data as required and on timely basis.
  • Able to calculate demurrages incurred on ships.
  • Timely filing of documents into the shared drive as per the SOP set.
Requirements
  • Bachelor’s’ degree or equivalent with relevant operations experience of 5-6 years
  • Strong operations skills in Refrigerated and Pressurized LPG operation, floater management, storage management, ship operations will be beneficial
  • Comfortable with extended working hours, due to the time zone differences
  • Excellent understanding of Incoterms 2010 and 2020
  • Be detailed and results oriented
  • Clear understanding of operations processes and documentation
  • Thorough knowledge of the business or commercial market
  • Be able to network and develop key relationships
  • Be observant and resourceful
  • Be methodical in all aspects of the operations works
  • Strong English language skills. Second Asian or European language skills will be beneficial
