Responsibilities:
  • Analyse and provide timely and efficient advice on JCU latest admissions manuals and courses\xe2\x80\x99 entry requirements
  • Identify, research, conceptualise and pursue opportunities for continuous improvement of admissions procedures and processes including gathering of new information on market trends, intelligence and feedback from Academics, Marketing as well as through engagement of regular JCUA/JCUB cross campus admissions meetings
  • Presentation of entry standards proposals to management which includes analysis of competitors, higher education industry and international education systems
  • Responsibility to determine outcome of individual applicants\' assessment based on the Assessor Guideline Manual (AGM)
  • Provide supervision, performance management and appraisal of the admissions team
  • Manage the implementation of training programs designed to ensure that new staff are adequately trained, and existing staff are updated on any procedural or systems change which occurs
  • Manage the operations of the admissions team to ensure all processing is completed in a timely manner and that strategies are in place to respond to unexpected holdups elsewhere in the university
  • Conduct periodic review on JCUS admissions procedure documents
  • Ensure that the admissions team has a well-balanced workload following yearly EMG budget targets and actual processing of new applications
  • Manage the provision of regular new student enrolment and other ad hoc reports to EMG and EMG individual members
  • Provide relevant student information to Enrolment, Finance, Meet and Greet, Accommodation, Student Affairs, Campus Activities, Academic Planning and Academic departments.
  • Administration of the EduTrust Student Contract which includes periodic review of courses\xe2\x80\x99 details and to ensure each student contract is only for admission to one course
  • Ensure that all signed student contracts correspond to respective course/subject enrolment and corresponding fee management/scholarships
  • Follow up with relevant team for the applicants with conditional offer and ensure student meets the requirement as per conditional offer by the deadline given
  • Analyse the performance of admissions processing and provide reports as appropriate
  • Conduct planning on admissions dates, reporting day and the commencement of student pass application submission for each intake
  • Administration of Student Satisfaction Survey with Pre-Enrolment Process and withdrawal/deferment process prior to census dates
  • Liaise with Immigration Checkpoints & Authority, ICA on complex SOLAR+ application cases and the administration of JCU staff SOLAR+ accounts
  • Conduct verification of sampled new student highest qualifications with corresponding institutions
  • Analyse and provide advice on the adequacy of existing systems such as Student Management System (SMS) and Finance CRM
  • Use admission functionality in SMS to ensure compliance with local legislative requirements
  • Maintenance of SMS, CRM, SAS system which includes the addition of new information, updating changes to existing information and deletion of obsolete data
  • Work closely with the team and to provide trainings when necessary to optimize the utilization of current system
  • Work with other managers to resolve issues as they become apparent
  • Ensure good communication processes exist between the admissions team and other departments
  • Work closely with JCUA colleagues at division and college levels which includes the Graduate Research School, Admissions and Curriculum Information teams
Key selection criteria:
  • Bachelor level degree preferably with a focus on accounting or statistics
  • 5 years managerial experience especially in organisations with high processing requirements
  • Experience at tasks which require high levels of communication skills with people from all over the world
  • Well-developed skills in networking and building relationships
  • Strong leadership skills including the ability to motivate team members to maximise work performance
  • High level IT skills, particularly in the use of Excel and CRM systems
