Job Description


:

  • Budget and Financial Administration
  • Manage finance payments and updating of finance records, including
  • Process payment claims from faculty and administration offices, and students.
  • Manage and maintain SAP purchasing system.
  • Manage vendor payments.
  • Responsible for generating and keeping track of the funding applications, claims, reports, assessment, feedback and attendance records, and other documentation.
  • Post accounting entries necessary for effective management reporting.
  • Teaching and student support
  • Liaise with Office of Finance and Human Resources and Faculty Administration to ensure adjunct and Teaching Assistants\' payments are processed in timely manner.
  • Process student financial assistance schemes (scholarships, bursaries, grants, subsidies) under the purview of CIS and PSR.
  • Manage the operations of the office, including
  • Purchasing of office supplies.
  • Payment of rental equipment.
  • Renewal of Adobe/Acrobat licences.
  • Responsible for generating and keeping track of claims, reports and other documentation, where necessary.
  • Manage and support faculty in their conference and travel management matters.
  • Manage and track staff welfare funds and expenditure.
  • Support the Assistant Dean with budgetary control, including monitoring of fund utilisation and performing system budget/fund transfers.
  • Assist the Assistant Dean in the preparation of quarterly budget report, annual budget and budget presentation.
  • Asset management
  • Manage and maintain Fixed Assets Register.
  • Provide support for asset renewals and disposals.
  • Event/seminar organization
  • Provide guidance in planning the budget for the events/seminars.
  • Manage revenue and expenses of events and seminars to ensure completeness and compliance, including transactions reconciliation for the events/seminars.
  • Provide administrative and logistics support during the event/seminar.
  • Communication
  • Be the central point of contact for CIS, PSR and WKWC on all financial matters.
  • Enhance awareness and adherence to financial policies.
  • Build strong, effective relationships with faculty and colleagues to ensure their needs are addressed and finance policies are understood.
  • WKWC and CIS Donor Management (external stakeholders)
  • Work with the Office of Advancement for partners\' donations.
  • Maintain donor database.
  • Assist in any other tasks as assigned.
Qualifications:
  • General Degree with 3 to 5 years of relevant work experience.
  • Financial, Accounting, Secretarial, Google other MS Office certification will be advantageous.
  • Proficient with MS Office suite and Google suites/apps.
  • Knowledge and skill in SAP system (finance) will be advantageous.
  • Prior experience in understanding the tertiary education landscape would be an advantage.
  • Strong understanding and working knowledge of financial reporting and basic principle of accounting and book entry.
  • Meticulous, ability to multitask and work in a fast-paced environment.
  • Excellent time management skills and ability to prioritized work.
  • Possess good administrative and organisational skills.
  • Good communications (both written and spoken) and interpersonal skills.
  • Self-starter, mature and able to work independently, at the same time, an effective team-player.
