Job Description


What the role is:Officer is responsible for managing the operational and administrative needs, and maintenance of Harmony Centre\'s facilities and gallery. This role involves coordinating requests for learning journeys at Harmony Centre, which includes liaising with mosque officers and other agencies, and managing docents\' schedules and remuneration. Officer will also develop the knowledge management systems for offline and online outreach.What you will be working on:Centre Operational Needs (Office and facilities)

  • Manage the day-to-day operations of the Centre, including facilities management, procurement, and administrative processes.
  • Develop and implement standard operational policies and procedures to ensure smooth functioning of the Centre.
  • Coordinate with relevant stakeholders to address maintenance and repair needs of the Centre.
Centre Administrational Needs (Office and facilities)
  • Manage Centre\'s knowledge management matters, both digital and hardcopy formats.
  • Manage Centre resources, of which includes upkeeping publications, artefacts, and facilities.
  • Plan and organise social letters and gifts for Centre stakeholders of other faiths.
Learning Journeys
  • Oversee learning journey matters, including coordination with Mosques, external agencies, and volunteer docents.
  • Maintain partnerships with relevant organisations to enhance the quality of learning experiences.
  • Ensure the seamless execution of learning journeys, including logistical arrangements and scheduling.
Harmony Centre Docents
  • Recruit, train, and supervise volunteer docents to support the Centre\'s educational programmes.
  • Provide ongoing support and guidance to volunteer docents, including performance management and recognition.
  • Develop and implement strategies to enhance the engagement and retention of volunteer docents.
Harmony Centre Outreach
  • Manage offline and online outreach for the Centre.
  • Monitor outreach (whenever required)
What we are looking for:
  • Tertiary education in any discipline.
  • 5 years of working experience with at least 3 years of supervisory experience.
  • Good proficiency in English and Malay languages with strong verbal and written communications skills as candidate will be liaising with stakeholders and working with resources in these languages.
  • Proven experience in project coordination and management, preferably in a facilities or maintenance environment.
  • Strong organisational and multitasking abilities, with a keen attention to detail.
  • Excellent communication and interpersonal skills to effectively engage with stakeholders at all levels.
  • Good Proficiency in project management tools and software for planning and tracking project progress.
  • Proven experience in administrative support and operations coordination, preferably in a community or facility management setting.
  • Strong organisational and time management skills, with the ability to prioritise tasks effectively.
  • Excellent communication and interpersonal abilities to engage with staff, visitors, and external stakeholders.
Proficiency in office productivity software and administrative tools for documentation and schedulingSuccessful candidate will be appointed on contract basis.In general, applicants can expect to hear from us within 4 weeks of the close of the application window.
