Job Description

Support AIAIM, AIA Investment Funds and AIA VCC in their respective implementation and administration of the investment governance framework ("IGF"), including training and communications requirements Support AIAIM, AIA Investment Funds and AIA VCC in their respective implementation and administration of the investment governance framework ('IGF'), including training and communications requirements. Roles and Responsibilities Facilitate the administration of the IGF of AIAIM, AIAIF and AIA VCC Facilitate and procure the drafting, updates to, and adoption of Policies and Procedures ('P&Ps') by subject functional owners, review by Compliance and Risk ('C&R') and approval and issuance by CEO/Board following any new or amended AIA Investment Standards or Group wide Policies/Standards Broadcasting new/revised P&Ps to all staff and updating of Governance materials in Shared Drive and Corporate Policy Portal Where potential breaches of the IGF had occurred, facilitate the breach handling process and log, including coordination with C&R stakeholders Facilitate the application of exceptions to Investment Standards, Policies and Procedures and maintaining a log on the same Coordinate and facilitate the annual renewal of exceptions for AIAIM, AIAIF and AIA VCC Facilitate the annual Resource Review process Where new or amended Investment Standards are proposed by AIA Group, collate feedback on Investment Standards Provide guidance on where to obtain clarification pursuant to ad hoc queries on Investment Standards, P&P Coordinate the Annual Certification by subject functional owners and the CEO to the AIAIM, AIAIF and AIA VCC Boards and AIA Group of the adherence to AIA Investment Standards Facilitate the implementation and administration of the Investment Training Policy including tracking of staff training on the Investment Operating Model site and completion of online quiz Facilitate the implementation of the bespoke training curriculum of AIAIM P&P in collaboration with subject functional owners/Heads of Departments in line with the Investment Operating Model Train-The-Trainer programme Facilitate the communication across internal and external stakeholders and coordinate with Group Legal & Governance ('L&G') in relation to ongoing communication for Investment related projects / initiatives / events / operating model Work closely with key stakeholders across all three lines of defense to ensure key requirements within the IGF are understood and applied Advocate and advise internal and external stakeholders as required on IGF Facilitate the Adherence Review with Group L&G including procuring the revisions to the P&Ps and attending to queries from Group L&G relating thereto Facilitate the new hire governance walkthrough with other presenters and provide Governance guidance to new hires Organise quarterly dialogue with the other Asset Management Companies ('AMC') in the region to discuss topical matters, issues, challenges and enhancements Guide and assist other AMCs in the build out or implementation of the IGF Preparation of Governance related board papers/materials for the quarterly board meetings for AIAIM, AIAIF and AIA VCC Identification, assessment and review of key controls/risks specific to L&G to the eGRC System Coordinate information and documents pursuant to internal, external and regulatory audits in collaboration with internal stakeholders and Group L&G Assist in other matters, projects and initiatives from time to time as directed by the Head of Legal & Governance. Job Requirements Minimum 6 years of asset management compliance or risk management experience from reputable financial services institution(s), advisory consulting firms, or legal/paralegal experience in law firms or in-house. An understanding of the asset management risk management framework/process and experience working with 3LOD. Experience in drafting, reviewing, and administering P&Ps. Experience in providing training would be an added advantage. Strong English verbal and written skills. Experience communicating/ presenting to senior management in formal meetings and smaller working teams, facilitating sessions with stakeholders representing different goals and priorities would be a plus. Experience in handling Internal and External Audit and/or regulator's reviews an added advantage. Highly organized and strong attention to detail. A self-starter, pro-active and motivated individual. Strong communication and interpersonal skills. The ability to provide constructive challenge where appropriate would be a plus. Positive work attitude and ability to work collaboratively as part of a larger team.
