COMPANY DESCRIPTION National Gallery Singapore is a leading visual arts institution which oversees the world\xe2\x80\x99s largest public collection of Singapore and Southeast Asian modern art. RESPONSIBILITIES Board Governance and Board Relations Corporate Governance

  • Manage and review corporate governance policies and controls to ensure adherence to regulatory requirements and cater to the organisation\xe2\x80\x99s business areas, including managing all internal and external governance records.
  • Ensure timely compliance with all statutory requirements such as filing of resolutions, filing of annual returns with ACRA, and necessary submissions in compliance with the Charities Code.
  • Provide support on governance matters and processes, as well as charity governance matters, including matters relating to the Charities Code of Governance.
  • Assist in producing documentation to support implementation of governance related policies and procedures.
Coordination
  • Providing secretariat and administrative support to the Board and Board Committees including but not limited to, scheduling & preparation of meetings, creating meeting agendas, coordinating physical and virtual meetings, drafting of board minutes, resolutions, and other documents, distribution of board materials, managing the Board\xe2\x80\x99s electronic meeting and information sharing portal, provide meeting support and carrying out any post-meeting actions as required.
  • Assist with Board renewals, onboarding meetings for new Board members and maintain due diligence documentation on new and existing board of directors.
  • Assist with developing, drafting and consolidating the preparation of all informative materials and presentations for regular and ad hoc Board training, and any other special meetings of the Board.
  • Coordinate all Board related events, including event logistics support when Board members visit the museum. Coordinate and draft minutes for internal management meetings, provide practical support to senior management as needed.
Corporate Planning
  • To support and coordinate organisational reviews and planning activities to track strategy implementation, workplan priorities and resource allocation.
  • To prepare regular performance and risk management reviews and reports.
  • To support corporate reporting tailored to relevant audiences. And any other duties assigned by the division.
Knowledge Management To assist Deputy Director (Planning & Research) and work with various knowledge managers in the knowledge management project to encourage the documentation and regular updating of critical organisation information to ensure up-to-date, and searchable content within the organisation.
QUALIFICATIONS
  • Degree in Business Administration, Arts Management, Humanities, Social Sciences, or related. Prior experience working in a non-profit/charity sector is a plus.
  • Experienced working with a Board of Directors and senior management, meeting coordination and/or tracking policies and procedures, is required.
  • Experience with corporate planning, risk management or relevant work experience in an arts-related portfolios is a plus.
  • Strong written communication skills and ability to draft correspondence and other documentation are required. Previous experience in meeting minute taking is desirable.
  • Strong stakeholder management and interpersonal skills are required.
  • Discretion and ability to handle sensitive and highly confidential information and material appropriately.
  • Precision, accuracy, and high attention to detail in all aspects of work, including ensuring documents, and presentations are error free.
  • Proven ability to work under pressure and meet deadlines in a highly challenging environment, working within a small team. Ability to work effectively independently as well as with a team.
  • Technical: Good working knowledge of Microsoft Office Suite and collaboration tools, proficiency in working with video conferencing tools to enable hybrid meeting formats and working with web-based solutions like Diligent Boards in uploading of Board materials.
  • Keen interest in arts and culture is required.
