ROLE OVERVIEW The Marketing & Communications Assistant Manager / Manager, The Mandala Club is a key support position, based out of the Mandala Club premises in Singapore, and responsible for assisting with the generation and execution of event, marketing and internal communications initiatives aimed at the Mandala Club membership community. Acting as a central point of contact to help manage and coordinate the gathering and dissemination of information for member-oriented communications as well as the design and creation process for all member-facing marketing tools. Supervising and overseeing content capture and creation for newsletters, as well as publishing updates on the Mandala Club website. Working on the implementation and execution of partnership and sponsorship deals that drive experiences and offers that benefit Mandala Club members. Playing a key role in supporting the ongoing creative evolution, relevance and innovation of the in-house members’ events program, helping to coordinate relationships with powerful and influential creative entities to deliver brand defining events.

KEY OBJECTIVES & DELIVERABLES

  • With guidance and oversight from the Head of Marketing, assist with the planning and implementation of marketing and communications projects, and promotional initiatives for the Mandala Club, including member mail outs, tool and content creation, social posts, bespoke programming and other ways of creating brand / project awareness as required.
  • Be the point person for distributed physical and digital collateral used across the Mandala Club, working with the Head of Marketing to compose and distribute tools publicising news, event programming and member-led content to members, including posters, digital collateral, newsletter templates and bespoke mail outs, through overall management and leadership of the business’s newly on boarded CRM platform.
  • Assist the Head of Marketing in team management, administration and financial budgeting and adherence.
  • Be a champion for the members’ omni-channel user journey. Web -> app -> physical space -> concierge/relationship management, and beyond.
  • Take personal responsibility for assembling and collating regular Mandala Club members newsletters, gathering together events, news, editorial and content, and ensuring the final newsletter is approved and mailed out on deadline.
  • Possess a lust for copywriting in various formats; albeit articles, press releases, social media captions, event listings, biographies, etc. specifically influenced by the Mandala Club tone and voice.
  • Provide guidance to, and collaborate with the Graphic Designer Creative Studio, to assist with the creation of compelling and professionally delivered content (including the capturing and swift editing of still images and video footage from members events) for the Mandala Club website and newsletters, ensuring material is on brand, up to date, and delivered against deadline(s).
  • Assist the Head of Marketing to ideate creative briefs for Graphic Designer Creative Studio, under the Mandala Club brand guidelines to ensure that all design requests are submitted in a timely manner, and the ensuing artworks are visually enticing and exciting to members and their guests, noting all of the relevant information correctly.
  • Work on optimizing the Mandala Club website, ensuring all content is current and is refreshed periodically. Take part in meetings to review website performance.
  • Drive the growth and management of the Mandala Club social media accounts with members, future members and partners in mind, by helping to source and provide topical, informative, smart, engaging and effective content.
  • Through utilizing an extensive and varied personal network of contacts, contribute ideas for event concepts and opportunities for the monthly Mandala Club members’ event calendar.
  • Help ensure that each members’ event has a Mandala Club point person rostered for hosting and delivery at the event itself, and when there is a limited guest list for members, the mechanic works smoothly.
  • Work closely with the Mandala Club operations team to ensure the production and execution of events is expertly coordinated, and that event details are correctly communicated.
  • Assist with the implementation and execution of agreed partnership with credible arts and cultural organisations, as well as key brand partners providing support on communicating major joint events, pop ups, promotions and initiatives at the Mandala Club.
  • Working closely with the Head of Marketing, ensure any exclusive benefits for members with local partner companies that deliver preferential rates, discounts and advantages (which form part of the membership offering) are communicated correctly.
  • Spot trends and keep a watchful eye on the marketing / communications and event activity of competitor members clubs and arts organisations, updating the team when appropriate.
  • Compile information for weekly status reports on current and planned marketing activity, as well as providing support on presentations and decks as required.
  • Take part in Marketing/Communications and events brainstorms to contribute ideas.

PUBLIC RELATIONS
  • Provide reservation support for visiting media, including distribution of media releases and up-to-date press kits.
  • Support all club film/photo/fashion shoots, media interviews, press conferences and walk-in journalists by communicating to the various departments, conducting site inspections and providing the relevant details.
  • Produce all correspondence relating to sponsorship agreements including sponsorship documents, food and beverage components, booking advertising space and accommodation bookings.
  • Maintain and update the media database and dispatch relevant information including press releases, photos, discs, logos etc when necessary.
  • Maintains collateral library and external image libraries.
  • Provide support for the preparation of industry award submissions and leverage the strength of awards through various communication channels.
  • Ensure all relevant media clippings and advertisements are saved accordingly.

DIGITAL MARKETING & ADVERTISING
  • Build, plan and implement the overall digital marketing strategy.
  • Stay up to date with the latest technology and best practices.
  • Measure and report results with reference to the established ROI and KPIs.
  • Prepare and manage a digital marketing budget.
  • Manage and improve online content, considering SEO and Google Analytics.
