Consult with Client during research of venues ensuring client requirements are met in meetings and events specifications.
Prepare estimated budgets and communicate budgetary information to Client throughout the purchasing process.
Utilize preferred vendors for quality of service; minimize risk and maximum pricing advantage.
Maintain positive supplier relationships.
Initiate vendor contact for information and pricing on assigned meetings and events.
Maintain the highest level of quality, professionalism and integrity when negotiating with suppliers.
Negotiate all supplier contracts for the best possible prices and concessions in order to meet client’s expectation of savings on meeting spend.
Keep abreast of new destination options, well-priced seasonal destination options and “hot date” offerings.
Coordinate site inspections with suppliers, client and program manager. Prepare appropriate site inspection material for clients
Planning:
Oversee program development, planning and execution of all assigned programs from the point of meetings and events request.
Add value to client by counselling client on best practices and guiding the client on ways to make their event successful.
Update budgets as necessary during planning and prepare final budgets – Communicate budgetary information to client throughout the planning and execution of meeting.
Negotiate and contract vendors (ground transportation, entertainment and décor elements via preferred destination management companies and/or direct vendors).
Determine and arrange detailed program needs (i.e. room set-up, function times, audio visual, menu selections, on-site/off site events and activities, DMC operations, special events, ground transfers, room deliveries, VIP needs, etc.).
Facilitate the creative direction and fulfillment of program related participant and host communication materials, including, but not limited to save-the-dates, registration announcements, room gifts, pre-trip and onsite materials, including program signage and participants name badges.
Provide on-site program assistance; oversee all arranged details of program (i.e. attend pre-con, advance all functions, verify room set-ups, review banquet checks/master bill, registration desk coverage, handle VIP needs, assist in handing out documents, etc.).
Manage to FCM Standard Operating Procedures and Service Level Agreement metrics.
Develop and maintain relationships with Clients and Program Managers to ensure repeat and new business.
Follow company procedures, account guidelines and customer service standards in the areas of making travel arrangements, building Passenger Name Records (PNR's) and profiles, ticketing, tickets exchanges/changes, booking hotels and cars in GDS.
Requirements:
5 years of experience in managing small to large scale MICE & Group Events bookings, responsible end to end logistics needs of clients
Ability to multi-task and work with timeline
An experienced leader with the ability to understand each team members’ skills and maximize their potential and productivity.
Experience in using a Global Distribution System (GDS) will be an added advantage but not essential
Strong interpersonal skills, ability to network at all levels
Exceptional written and verbal communication skills
Ability to articulate knowledge about products, services and value proposition to customers
Demonstrates personal excellence by showing personal determination and resilience and is optimistic in changing circumstances
