This position is primarily responsible for providing secretarial support to the Deputy Principal. It is also expected that the Administrative Associate will assist teachers, students, and staff members in matters related to other job functions of the middle school division office as necessary and as workload permits.
The expected commencement date is 24 July 2023.
Responsibilities:
Provide clerical support to the middle school Deputy Principal, including printing of home base list with pictures from PowerSchool
PowerSchool and Veracross data responsibilities including databases and scheduling
Coordinate the schedules of appointments and meetings for the Deputy Principals
Support the Deputy Principals with special projects
Maintain all records, correspondence, etc., in a well-organized and accessible manner
Maintain updated e-leave records and coordinate absentee reports with the Receptionist
Maintain strict confidentiality of all personnel matters and school records
Assist with work requests and work orders for the department
Liaise with custodians and security guards on maintenance and security matters
Relieve the receptionist during their absence or when needed as determined by the Principal
Assist the other Deputy Principal\xe2\x80\x99s secretaries in coordinating the booking of facilities for middle school concerts and events, assist with the coordination of tables and other needs, and remind chaperones of middle school concerts or performances
Update and print handbooks and student homework agenda
Take charge of the middle school Fuji Xerox machines, i.e., programming of account and/or PIN numbers and reporting of monthly usage
Create the assembly seating chart for middle school assemblies
Update Powerschool with disciplinary log entries for students and follow up on lunch detentions and suspensions
Coordinate Student at Risk Charts and letters to parents (ad-hoc)
Collate summer work requests for middle school learning spaces and follow-ups after summer break
Coordinate the photo-taking schedule and needs for yearly middle school photo-takes
Order flowers for hospitalized students and staff
Ensure compliance with all school\xe2\x80\x99s policies and procedures as related to the job responsibilities of this position
Relate courteously and effectively with students, parents, school personnel, government personnel, and community members as necessary
Edit and maintain Middle School Program Guide
Coordinate travel for work and CWW Trips, including busses, insurance, etc
Get students from class as requested
First Point of Contact for faculty/parents/Deputy Principal
Update and maintain the MS Faculty/Events Calendar
Lunch Supervision Pay
Coordinate MS Room Bookings
Complete PS Log entries
Perform other duties and functions as assigned by the Middle School Deputy Principal and Principal

Qualifications Required:
Diploma from a recognized Institution/polytechnic.
LCCI Private Secretarial Certificate or equivalent.
Excellent typing skills.
Substantial work with budgets/budgeting.
Excellent organizational and office management skills.
Demonstrates competence in computer applications for word processing, spreadsheet, graphics, and scheduling, with an interest in and ability to learn new applications.
Excellent interpersonal skills and ability to handle multiple responsibilities and priorities concurrently.
Good English communication skills, both written and oral.
Positive work attitude and initiative.
Ability to work cooperatively and provide assistance as necessary to other team members.
