Objective :

The Tenderer shall provide the Services by deploying seven (7) competent personnel (\xe2\x80\x9cPersonnel\xe2\x80\x9d) to support the following functions of the Authority: 1. Venue Management (1 Personnel) 2. Library Assistance (1 Personnel) 3. ICT & AV Support (1 Personnel) 4. Operations Support (2 Personnel) 5. Reception and Admin Support (2 Personnel) The Tenderer is required to submit together with its offer and price proposal the CVs of Personnel to be deployed.

Working Days, Hours and Location The seven (7) Personnel are required to adhere to the working hours below, base on 42 hour work week (excluding lunch break):

1. Venue Management (1 Personnel) \xe2\x80\xa2 Mondays to Fridays: 8:30am to 5:30pm, inclusive of \xc2\xbd hour lunch break \xe2\x80\xa2 One of the days will be a 8.5-Hour work day, inclusive of \xc2\xbd hour lunch break

2. Library Assistance (1 Personnel) \xe2\x80\xa2 Mondays to Fridays: 8.00am to 5.00pm, inclusive of \xc2\xbd hour lunch break \xe2\x80\xa2 One of the days will be a 8.5-Hour work day, inclusive of \xc2\xbd hour lunch break

3. ICT & AV Support (1 Personnel) \xe2\x80\xa2 Mondays to Fridays: 8.00am to 5.00pm, inclusive of \xc2\xbd hour lunch break \xe2\x80\xa2 One of the days will be a 8.5-Hour work day, inclusive of \xc2\xbd hour lunch break

4. Operations Support (2 Personnel) \xe2\x80\xa2 Mondays to Fridays: 7:00am to 4:00pm, inclusive of \xc2\xbd hour lunch break \xe2\x80\xa2 One of the days will be a 8.5-Hour work day, inclusive of \xc2\xbd hour lunch break

5. Reception and Admin Support (2 Personnel) \xe2\x80\xa2 Mondays to Fridays: 7.30am to 4.30pm and 8:30am to 5:30pm, inclusive of \xc2\xbd hour lunch break \xe2\x80\xa2 One of the days will be a 8.5-Hour work day, inclusive of \xc2\xbd hour lunch break

Scope of Services :

The Services required are set out as follows:

  • Venue Management (1 Personnel) \xe2\x80\xa2 Manage and maintain all installation and facilities in the hall (performance venues) \xe2\x80\xa2 Monitor all equipment used in the Performing Arts Centre (PAC), e.g. the piano, music stands, conductor\xe2\x80\x99s stand, sound system, lighting system, air-conditioning system. \xe2\x80\xa2 Able to operate all the equipment in the PAC. \xe2\x80\xa2 Ensure that the stage is in good working conditions at all times \xe2\x80\xa2 Liaise with internal or external users on the usage of venue, logistics etc, to ensure the smooth running of the events \xe2\x80\xa2 Ensure all users comply with the rules of PAC \xe2\x80\xa2 Training of ushers in ushering audience via evacuation routes in the case of emergency D-4 \xe2\x80\xa2 Training of users on the basic operations of equipment in PAC
  • Library Assistance (1 Personnel) \xe2\x80\xa2 Managing the issuing and returning of the library\xe2\x80\x99s stock; \xe2\x80\xa2 Shelving stock and keeping the library in good order; \xe2\x80\xa2 Provide support for cataloguing of new material to the library collection; \xe2\x80\xa2 Processing new materials to be ready for shelving; \xe2\x80\xa2 Managing the library management system and supporting its use by students; \xe2\x80\xa2 Running the overdue system; \xe2\x80\xa2 Help library users to find materials to meet their needs and manage library resources; \xe2\x80\xa2 Encourage pupils and staff in using the library thourough supporting a range of library-based activities; \xe2\x80\xa2 Supporting the School Library Officer with the supervision of students using the library. \xe2\x80\xa2 Perform other related duties as required
  • ICT & AV Support (1 Personnel) ICT Support \xe2\x80\xa2 Provide the school with professional ICT support and additional technical expertise to handle the increasingly sophisticated ICT implementation in the school; \xe2\x80\xa2 Manage the implementation of ICT projects in the school, assist the Head / ICT in ICT planning and introducing new ICT solutions that support teaching and learning. He will also execute daily ICT operational and administrative duties, such as procurement and inventory management; \xe2\x80\xa2 The roles and responsibilities of the ICT Executive shall be as follows: a) Managing ICT Programs in the school o Project manage school-initiated projects o Co-ordinate MOE HQ project roll outs for the school o Ensure project implementation is adhered to MOE policies, guidelines and standards o Provide progress updates of projects to the Head / ICT o Prepare relevant documentations and guidelines pertaining to the project b)Business Solution and ICT Planning o Work with the Head / ICT on gathering the ICT needs of the school o Propose solutions that meet the requirements of the school including technical specifications and market pricing of these solutions c) Procurement of ICT Equipment & Services o Assist the Head / ICT in purchasing ICT Equipment & Services based on the school\xe2\x80\x99s requirements through bulk tenders, calling tenders and quotations d) ICT Resources o Assist the Head / ICT to manage the school\xe2\x80\x99s ICT resources D-5 o Assist the school and Head / ICT to establish SOP for security of ICT resources e) Working with other ICT, AV & MRL Staff o Based on instructions from the HOD/ICT, the service staff may oversee and assign work to the ICT TAs, AV TAs, Librarians and any other ICT, AV & MRL support staff in the school f) Other tasks may include: o Proactive scanning of the market for technology trends and new technology tools that support Teaching and Learning and update school staff. o Be a point of contact for vendors, coordinating ICT project related matters for the school. Audio Visual (AV) Support \xe2\x80\xa2 The roles and responsibilities shall be as follows: a) Equipment Setup and Maintenance: Setting up, installing, and configuring AV equipment such as projectors, sound systems, microphones etc. Ensuring all equipment is in proper working condition, conducting regular maintenance, and troubleshooting technical issues. b) Event Support: Providing AV support for school events, meetings, presentations etc. This includes assisting with equipment setup, operating AV systems during the event, troubleshooting technical issues, and ensuring a smooth audio and visual experience for participants. c) Technical Troubleshooting: Diagnosing and resolving technical problems related to AV equipment, software, and connectivity. This includes identifying issues with audio or video quality, troubleshooting network connections, resolving software conflicts, or addressing hardware malfunctions. \xe2\x80\xa2 Other duties include: a) Assist school in solutions pertaining to ICT-related problems; b) Provide consultancy and assist all teachers in ICTrelated matters and problems; c) Provide technical assistance to teachers and students in preparation of special events such as Open House, conferences, competitions, projects, etc.;
  • Operations Support (2 Personnel) \xe2\x80\xa2 Responsible for the cleanliness of rooms and premises; \xe2\x80\xa2 Assist the Operations Manager (OM) in basic facilities management and maintenance, such as replacing light bulbs, plumbing, pest control, etc. Conduct regular checks on facilities and reporting faults to the OM; \xe2\x80\xa2 Perform gate and traffic warden duties during peak hours to ensure the safety of students, and smooth traffic flow in the school; \xe2\x80\xa2 Provide logistic support for special events and daily activities, ensuring the venue/room is properly set up in advance; D-6 \xe2\x80\xa2 Assist in distribution, collection and maintain proper records of miscellaneous items
  • Reception and Admin Support (2 Personnel) \xe2\x80\xa2 Provide office support services in the Admin Office. \xe2\x80\xa2 Manage in-coming phone calls \xe2\x80\xa2 Attend to walk-in visitors/visitors, students and staff \xe2\x80\xa2 Manage in-coming and out-going mails \xe2\x80\xa2 Receive and route fax messages \xe2\x80\xa2 Receiving of Goods \xe2\x80\xa2 Manage Rooms/Area (Reception Counter, Visitors\' Room, Meeting Room & Sick Bay), \xe2\x80\xa2 Manage Bus Transport arrangements for students taking 3rd Language
Qualification, Skill & Experience of the Tenderer\xe2\x80\x99s Personnel

1. Venue Management (1 Personnel) \xe2\x80\xa2 Has attained: o Certificate in Basic Fire Safety or other related certificate and Certificate in Audio Sound System or equivalent or other related certifications \xe2\x80\xa2 Has experience in: o Management of a performance venue that hosted events by professional performance groups; o Stage, sound and lighting setup for performing arts groups, eg. Symphonic band, Chinese orchestra, choir, dance etc o Coordination with various performing arts groups. \xe2\x80\xa2 Proficient in: o IT skills (e.g. Microsoft Word and Excel); o English & spoken Mandarin

2. Library Assistance (1 Personnel) \xe2\x80\xa2 Has attained: o Certificate in Office Skills or Higher Nitec/ Nitec in Office Skills or equivalent, or o \xe2\x80\x98O\xe2\x80\x99 Level certificate or equivalent \xe2\x80\xa2 Has experience in: o Library system and environment in school \xe2\x80\xa2 Proficient in: o IT skills (e.g. Microsoft Word and Excel); o English & spoken Mandarin \xe2\x80\xa2 Other Traits: o Positive attitude o Pleasant personality o Good interpersonal skills o Able to work with minimal supervision o A proactive, self-motivated and independent individual o Possess effective organizational and follow-up skills, giving attention to details.

3. ICT & AV Support (1 Personnel) D-7 \xe2\x80\xa2 Mandatory to have attained: o Diploma in Computer Science or related discipline, or Diploma in Film, Sound & Audio or related discipline \xe2\x80\xa2 Mandatory to have minimum 3 years of experience in: o Providing ICT & AV support for Secondary and JC students on areas stated in scope of work. \xe2\x80\xa2 Proficient in: o IT skills (e.g., HTML, CSS, JavaScript, Web Application Development); o AV skills (Video production and event management) o English \xe2\x80\xa2 Other Traits: o Possess effective organizational and follow-up skills, giving attention to details and able to multi task; o Proactive, self-motivated, mature and independent individual; o Good team player with a high level of initiative; o Good interpersonal and communication skills.

4. Operations Support Staff (2 Personnel) \xe2\x80\xa2 Has attained: o Primary School qualification \xe2\x80\xa2 Has experience in: o Cleaning and logistics duties in school environment \xe2\x80\xa2 Other Traits: o Good team player
  • Reception and Admin Support (2 Personnel) \xe2\x80\xa2 Has attained: o Certificate in Office Skills or Higher Nitec/ Nitec in Office Skills or equivalent, or o \xe2\x80\x98O\xe2\x80\x99 Level certificate or equivalent, or the equivalent of ESS Career Readiness Certificate (Operations); \xe2\x80\xa2 Has experience: o As frontline worker; o Attending to parents and with knowledge of school environment. \xe2\x80\xa2 Proficient in: o IT skills (e.g. Microsoft Word and Excel); o English & spoken Mandarin \xe2\x80\xa2 Other Traits: o Positive attitude; o Pleasant personality; o Good interpersonal skills and able to interact with all levels.
