JOB PURPOSE The Occupancy Planning Manager is to work together with the on-account Occupancy Lead in delivering outcomes on activities and initiatives related to the WebCoRE, the client’s appointed CAFM platform. KEY RESPONSIBILITIES Primary Responsibilities:

  • Serves as a SME for WebCoRE and its data to the Client and CBRE’s on-account employees, explain and educate data management rules within the system, how premise recharge is calculated, etc.
  • Understands the Bank’s strategic direction and objectives with regards to WebCoRE data and provide suggested solutions.
  • Develops processes and validation checks for data fed into WebCoRE, with periodic reviews to ensure relevance.
  • Writes / Reviews playbooks and guidelines.
  • Provides instructions to ISC-WebCoRE team in Manila to execute updates from Client.
  • Collaborates with other workstreams and product owners who are fetching data from WebCoRE through understanding the problem statement / desired outcome and in turn suggest and explain which data to employ.
  • Compiles occupancy data by cluster or region to track against initiatives and scorecards, include calculation of occupancy metrics and incorporate various sources of external data to provide a meaningful list / summary
  • Translates analysis results or status updates into powerpoint decks for MI submission.
  • Disseminates instructions to on-account ISC Business Performance team by taking brief from broader workplace team or client.
  • Monitors progress of dashboards above; support review of dashboards to confirm they are built according to requests from broader Workplace team or Clients.
  • Offers advice on how WebCoRE data should be used in desk-booking system.
  • Investigates errors regarding data from WebCoRE that is fed into desk-booking system should desk-booking system fails to operate as expected.
  • Works with on-account ISC Controls Manager to provide needed collateral and desk lists / floor lists for desk-booking system
  • Utilises data from WebCoRE system to run desktop study / data simulation.
  • Explores possibilities with WebCoRE vendor on new functionalities or improvements to existing feature to gain efficiencies in tasks.
  • Performs UAT for WebCoRE system when new functionalities are roll out, detail bugs and errors for developers.
  • Articulates opinions of changes proposed to WebCoRE system, with consideration to wider Client’s goals and environment.
  • Involves in conversations for new initiatives or ideas from Client / other workstreams with a SME perspective of what WebCoRE can or cannot support with.
  • Aligns and achieve team goals and objectives that may evolve over time

  • Experience of preparing and presenting management information, summarising and justifying material and data to support strategies.
  • Pro-active problem solver, self-driven and ability to work under a fast-paced environment.
  • Able to communicate confidently with stakeholders at all levels, including senior management, client, staff, and suppliers, etc.
  • Able to track status of tasks remotely, take appropriate actions to push progress.
  • Always demand continuous improvement on efficiency and effectiveness.
  • Willingness to put in extra hours with the team to meet deadlines.

KNOWLEDGE / SKILLS / EXPERIENCE
  • Diploma / University Degree in Architecture / Interior Design, Facility Management, Real Estate, or equivalent.
  • Minimum 5 years of relevant experience in occupancy management, space data management and CAFM systems
  • Experience working with remote teams preferred.
  • Strong interpersonal skills and communication skills for team and client management.
  • Highly organised, excellent communication and time management skills.
  • Fluency in written and spoken English is required and second Asian language considered an advantage.
