Role Summary
We are hiring a
full-time Office Admin Assistant
to support our daily operations, HR administration, and coordination with external partners.
This role suits someone early in their career who enjoys structured work, learns fast, and is interested in the investment and finance industry.
Key Responsibilities
1. HR Administration
Maintain employee records, contracts, and leave tracking
Support payroll, claims, and reimbursements
Assist in recruitment coordination and onboarding paperwork
Help organize small internal events and staff communications
2. Finance Support
Handle payment processing, invoice filing, and expense tracking
Prepare simple monthly summaries or reports for management review
Liaise with the accounting firm for bookkeeping or audit support
Ensure proper documentation and naming for all financial records
3. Fund Operations & Coordination
Coordinate with external service providers (corporate secretary, fund administrator, auditor, tax agent, etc.)
Prepare and organize documents for filings and compliance submissions
Support meeting scheduling, minute taking, and follow-up tasks
Assist in maintaining structured filing systems (digital and physical)
Requirements
Diploma or Bachelor's degree in Administration, Business, Accounting, or related fields
1-3 years of relevant experience (experience in small financial or consulting firms is a plus)
Proficient in both
English and Mandarin
(spoken and written)
Detail-oriented, organized, and eager to learn
Comfortable using AI tools or new digital systems to improve efficiency
