proactive and detail-oriented Office Admin / Backend Executive
to keep our operations running smoothly -- from paperwork and stock tracking to vendor coordination and backend e-commerce support. This role is ideal for someone who thrives in a fast-paced retail environment and enjoys keeping things organised and efficient.
Key Responsibilities
Handle
daily administrative tasks
-- filing, invoicing, document preparation, data entry, and internal coordination.
Support
e-commerce backend operations
: product listing updates, inventory tracking, order processing, and platform uploads (Shopee, Lazada, TikTok Shop, etc.).
Liaise with
logistics partners and suppliers
for deliveries, stock transfers, and restocking schedules.
Manage
office supplies, petty cash, and vendor payments
in coordination with the finance team.
Assist with
-- sending out promotional items, assisting with event logistics, and maintaining product display records.
Maintain
accurate data and reports
for internal reviews and audits.
Requirements
Diploma or equivalent qualification in Business, Administration, or related field.
At least
2 years of relevant admin or operations experience
(retail or FMCG preferred).
Proficient in
Microsoft Office / Google Workspace
; knowledge of
Xero or accounting systems
is a plus.
Strong attention to detail, good organisation skills, and ability to multitask.
Positive attitude, team player, and willingness to learn new systems and tools.
Able to communicate in
English and Mandarin
(to liaise with suppliers from China/Korea).
