JOB PURPOSE:

To provide departmental clerical and administrative support and relieve of administrative duties to General Manager, Management and Supervisory Personnel, and all employees of the Business Unit.

JOB DUTIES:

Provide admin support to the General Manager, Management and Supervisory Personnel.

Provide admin support to all the employees within the business.

Managing existing vendors and setting up of new Vendor applications.

Owner of the HP NextGen printer contracts (initial set-up, adding funds and extending dates).

Process NextGen purchase requests (Contract implementation, ordering and approving). Follow-up in NextGen if PO is not issued within 2 weeks, and with any questions or discrepancies raised by the NextGen team.

Process payments and submit on-line requests with finance each time Vendors\' payments are delayed.

Assist employees and coordinate with HR on medical and hospitalization claims.

Maintaining company insurance policy filing and coordination with insurance company on any changes in coverage.

Responsible for maintaining and updating departmental procedural and policy documentation.

Assist employees to coordinate IT related issues, arrange for laptop to be delivered to IT when support and repairs are required.

Coordinate the exit process for the employee, HR and IT.

Arrange travel and accommodations as required by the department.

Tend to all the details involved with manager\'s visits to Caterpillar domestic and overseas facilities and to other companies.

Oversee corporate clients\' visit, which include arranging lodging, meals, transportation, scheduling, meetings, etc.

Assist with organizing celebration lunches, safety improvement lunches, teambuilding events, etc.

Responsible for ordering office supplies for the facility including stationery items, general supplies, beverages.

Responsible for maintaining and ordering PPE supplies for the facility and visitors.

Arranging and registering the required Safety Courses for both Service and Warehouse Teams.

Track employees\' anniversary dates and ordering service anniversary awards.

Contact point for scheduling maintenance of printers and other office tools.

Mail distribution and manage mailings (DHL, UPS, etc.) for the facility.

Support Sales Representatives for any needs that may arise.

BACKGROUND/EXPERIENCE:

Candidates for this position must have a variety of administrative experiences gained at sectional, divisional and departmental levels. The position requires the application of seasoned, advanced administrative skills gained through years of experience and challenge in the more advanced and complex features of the activities of an office or work area. The incumbent should have general knowledge of company organization and its operations with a detailed knowledge of functions and responsibilities of the departments within the assigned area. The individual must be able to think and work independently, have superior organizational skills, and maintain a high-level of confidentiality.
