Our client is a global firm in the tech industry. The co is fast expanding with lots of future growth potential. There is an opening for an experienced and dynamic Executive Assistant cum office manager to join its growing set up. The role will provide EA support to the CEO and also run the office admin function in the company.
Key Responsibilities
EA functions
Provide EA support to the CEO
Manage and maintain calendars, including conference calls, travel and meetings across multiple time zones and partner with other team assistants accordingly.
Provide organizational support for meetings such as conference room bookings, logistics, attendee management, meeting materials, refreshments etc.
Schedule appointments, travel & accommodations arrangements and bookings
Prepare presentation slides and materials meetings
Administer and maintain filing systems
Process invoices and expenses claims
Any other ad-hoc requests as and when required
Office Manager functions
Purchase office supplies and pantry items as and when necessary
Organise company wide events.
Manage the overall office administration including management of office assets, facilities and IT system for an office
Any other ad-hoc requests as and when required
Key Professional Requirements
Degree qualified with min 12+ years of EA experience supporting senior management in a fast paced environment
Exposure to tech or banking/FI industries is a plus but not a must
Ability to work under pressure in a fast-paced, rapidly changing environment.
Highly self-motivated, proactive, can-do attitude
Strong communication skills
Strong people skills to deal with people of various levels in organization
Well-organized, with strong attention to details and prioritisation skills. Able to multi task
Demonstrated proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel)
Ability to effectively communicate with all levels of stakeholders.
Ability to maintain confidentiality and a high degree of discretion in managing information
Diplomatic, resourceful, hands-on and solution focused
Strong EQ skills
Flexible to working after office hours when needed for urgent work matters
