Job Description


Operation Admin (Logistics & Forwarding)
This position is with a company specializing in logistics and business solutions, catering to the diverse needs of clients across various industries in countries such as Australia, Hong Kong, China, Malaysia, and Singapore. The Logistics and Forwarding Administrator plays a crucial role in supporting the logistics and forwarding functions of the organization.
Key Responsibilities:

  • Provide administrative assistance to the logistics and forwarding team, including customs declarations, record maintenance, and handling correspondence.
  • Prepare and manage shipment-related documentation, such as bills of lading, customs paperwork, and delivery receipts.
  • Ensure all documentation is accurate and complies with regulatory requirements.
  • Process and track orders, including entering order details into the logistics management system and monitoring shipment status.
  • Coordinate with carriers and freight forwarders to schedule pickups and deliveries.
  • Resolve any issues related to orders, such as delays or discrepancies, and update relevant parties accordingly.
  • Maintain accurate records of shipments, inventory, and other logistics-related data.
  • Generate reports on shipment status, delivery performance, and inventory levels.
  • Analyze data to identify trends and areas for improvement in logistics operations.
  • Act as the primary point of contact for customer inquiries related to logistics and forwarding.
  • Address customer concerns and provide solutions to ensure a high level of satisfaction.
  • Communicate effectively with clients regarding shipment status, delays, or any issues that may arise.
  • Ensure compliance with all relevant regulations, including customs and import/export requirements.
  • Assist in implementing quality control measures to enhance logistics processes and service delivery.
  • Liaise with internal departments, such as procurement, sales, and finance, to coordinate logistics activities and resolve issues.
  • Communicate with external partners, including suppliers, carriers, and customs officials, to facilitate smooth operations.
Key Requirements:
  • Candidates must possess at least A levels/Diploma/Degree.
  • Singaporean
  • Proficiency in English & Chinese
  • Previous experience in logistics, forwarding, or a similar administrative role is preferred.
  • Attention to detail and a strong commitment to accuracy.
  • Strong understanding of logistics processes, shipping regulations, and supply chain management.
