Job Description

Key Responsibilities



Operations & Order Coordination



Process purchase orders and operational requests accurately and promptly.

Coordinate with vendors on pricing, availability, and delivery schedules.

Track order status and follow up with suppliers to ensure timely delivery.

Liaise with internal teams to arrange deliveries and support project timelines.

Follow up with relevant teams to ensure Goods Receipt (GRN) is completed on time.

Vendor & External Coordination



Communicate with suppliers on quotations, confirmations, delivery dates, and documentation.

Support sourcing activities by obtaining quotations and assisting in price comparisons when required.

Maintain good working relationships with vendors to support operational needs.

Documentation & Administrative Support



Prepare and maintain operational records including quotations, purchase orders, delivery orders, invoices, and GRN.

Ensure documentation is properly filed and aligned with internal processes.

Assist with invoice verification and submission for processing.

Internal Coordination & Operational Support



Work closely with Sales, Presales, Engineers, Project, and Finance teams to support daily operations.

Monitor operational timelines and follow up with stakeholders to prevent delays.

Support inventory-related coordination and aging control.

General Operations Support



Provide administrative and operational assistance across departments as required.

Support process improvements and standardisation of operational workflows.

Perform any other operational or administrative duties assigned by management.

Requirements



Diploma or higher in Business Administration, Operations, Supply Chain, or related field.

Minimum 1-3 years' experience in operations or administrative roles (IT / system integrator environment is an advantage).

Comfortable coordinating with multiple internal teams and external vendors.

Strong organisational skills with attention to detail.

Able to manage multiple tasks and follow up proactively.

Proficient in Microsoft Office (especially Excel).

Positive attitude, adaptable, and willing to support across operational functions.

Job Type: Full-time

Pay: $2,800.00 - $3,500.00 per month

Work Location: In person
