About the Role

We are a growing food & beverage group seeking a meticulous and proactive Operations Admin to support both the operations and accounts teams. This role serves as a key link between daily store activities and financial record-keeping, ensuring supplier invoices, purchase orders, and related documentation are accurately tracked, processed, and uploaded into the system. The ideal candidate is organized, detail-oriented, and comfortable managing both paperwork and digital workflows in a fast-paced environment.


Key Responsibilities

Receive, verify, and process supplier invoices, ensuring accuracy in pricing, quantities, and supporting documents. Work closely with outlet managers and the accounts team to ensure all invoices are submitted, recorded, and approved promptly. Scan, upload, and properly file invoices and supporting documents into the company's accounting or POS system. Maintain a clear record of outstanding supplier invoices and follow up with suppliers or outlets where necessary. Reconcile invoices against purchase orders and delivery orders, highlighting discrepancies for resolution. Support month-end closing by ensuring all documents are properly accounted for and accessible. Assist the operations team with vendor communications and document submissions when required. Provide administrative support such as data entry, report generation, and filing to streamline workflow between departments.

Requirements

Diploma or equivalent qualification in Business Administration, Accounting, or related field. At least 1-3 years of administrative or accounting support experience, preferably in the F&B or retail industry. Strong attention to detail and ability to manage multiple priorities. Proficiency in Microsoft Excel, Google Workspace, or other office tools. Familiarity with accounting or POS systems (e.g., Xero, QuickBooks, or similar) is an advantage. Good communication skills and the ability to work collaboratively with multiple departments.
