We are seeking a motivated and detail-oriented Operations Assistant to support the day-to-day operations related to worker dormitory management and basic human resource functions. This role plays a key part in ensuring smooth coordination of manpower logistics, accommodation arrangements, and records maintenance in a marine and offshore working environment. There will also be commercial functions that the individual will have to participate to handle internal processes and documentation.
Key Responsibilities:

Support the coordination of worker accommodation including room assignments, check-ins, check-outs, and maintenance requests.
Maintain up-to-date records of dormitory occupancy and assist in compliance with dormitory regulatory requirements.
Assist in handling manpower logistics such as transport arrangement and shift schedule dissemination.
Keep accurate data and documentation of personnel records including work permits, ID passes, and training certifications.
Monitor expiry dates of key documents and assist in renewals or follow-up actions.
Coordinate distribution of PPE, uniforms, and dormitory necessities.
Liaise with external vendors or agencies for basic supplies and services when necessary.
Assist in preparing reports and updates for internal use.
Support safety and housekeeping inspections of dormitory premises.
Assist in compiling and verifying data for billing related to dormitory and manpower services.
Coordinate with internal departments to gather necessary information for monthly billing cycles.
Support the preparation of simple invoices or billing summaries for internal tracking or external clients.
Monitor billing schedules and follow up on pending payments or discrepancies.
Maintain organised records of billing documents and transactions for audit and reporting purposes.
Assist in preparing internal pricing sheets, quotations, and tender documentation.
Gather and compile technical and commercial data from various departments for project proposals and reporting.
Help monitor compliance with internal processes related to budgeting, procurement, and document control.
Organize and update internal databases to ensure commercial information is accessible and current.
Provide general commercial support to the team on day-to-day matters.
Any other operational duties as assigned.
Requirements:

Diploma or equivalent qualification preferred.
Prior experience in operations or HR support in a marine or industrial setting is an advantage.
Able to work independently and adapt to a fast-paced environment.
Strong organisational and coordination skills.
Proficient in Microsoft Office (Excel, Word).
Willingness to work near dormitory sites or operational premises.
* Good communication skills in English; knowledge of other languages is a plus.
