Job Description


What the role is:To provide high-level administrative support to Deputy Executive Directors as the primary point of contact for both directors. Efficiently oversee the executive\'s schedule, organize travel plans, manage correspondence, and aid in diverse administrative duties as needed. You will be working in a fast-paced and highly volatile environment that would require the ability to manage multiple priorities and stakeholders at the same time.What you will be working on:

  • Provide administrative and secretariat support to Deputy Executive Directors, including but not limited to: \xe2\x80\xa2 Liaise with internal and external parties, answer to calls and make travel arrangements. \xe2\x80\xa2 Manage internal and external correspondences \xe2\x80\xa2 Schedule appointments, maintain calendar(s) and send reminders. \xe2\x80\xa2 Provide administrative support such as making travel claims for the Deputy Executive Director(s) \xe2\x80\xa2 Coordinate meetings \xe2\x80\xa2 Liaise with parties from both internally and externally on meeting dates, time and venue. \xe2\x80\xa2 Prepare facilities for scheduled meetings, and arrange refreshments (where required) \xe2\x80\xa2 Support the finance and procurement functions \xe2\x80\xa2 Support the admin and logistics functions \xe2\x80\xa2 Support in staff welfare matters, including organizing of staff welfare activities \xe2\x80\xa2 Contribute to cross-functional projects across the division, when assigned. \xe2\x80\xa2 Represent the division for relevant workgroups and committees \xe2\x80\xa2 Any other assigned duties
What we are looking for:
  • A tertiary education with relevant years of experience \xe2\x80\xa2 2 to 3 years\' experience in office administration and finance or related field preferred \xe2\x80\xa2 Good written and verbal communication skills \xe2\x80\xa2 Competent stakeholder management skills \xe2\x80\xa2 Requisite IT skills (proficiency in using MS Word, Excel, Powerpoint and Outlook) \xe2\x80\xa2 Organised and have a strong sense of structure in managing work processes. \xe2\x80\xa2 Resourceful individual who can work well with a diverse group of stakeholders. \xe2\x80\xa2 Adaptable, patient, strong interpersonal skills \xe2\x80\xa2 Self-motivated and able to work independently. As part of the shortlisting process for this role, candidates may be required to complete a medical declaration and/or undergo further assessment.
