To support Business Team, responsible for ensuring the smooth operation of the team by managing administrative tasks, coordinating meetings, and facilitating communication within the team and with external stakeholders.
Financial Administrative Support. Coupa: integration of contract, creation of new suppliers and processing purchase requests. Follow-up of supplier invoicing and budget. Provide support to organize RFPs (request for proposal processes): complete template, follow up on questions and organize bid defense meetings with internal partners.
Manage and maintain the Business Leaders calendar including scheduling appointments, internal/external meetings, and conference calls. Coordinate travel itineraries, flights, hotel accommodations, rental car, and other travel needs.
Manage internal communication and prioritization, including organizing and filtering email and messaging, flagging and managing action items and tasks, and holding key players accountable to priorities.
Complete monthly expense submission and reconciliation for Business Leaders corporate credit card and out-of-pocket expenses.
Provide general administrative support, including scheduling meetings, preparing reports, and maintaining records.
Manage organizational communication, scheduling, and logistics for companywide events/meetings such as business review meetings and regional kick-off meetings.
Prepare agendas for meetings, briefing materials, and presentations and take meeting minutes as needed.
Provide event support and planning, including retreats, meetings, and staff events. This includes logistical research and planning, day-of support, and invoice/billing management.
Support other functional areas and members of the organizations leadership team as needed.

Requirements:
Bachelors degree in Business Administration, Healthcare Management, or a related field.
Minimum of 2 years of experience in an administrative role, preferably in the healthcare or medical technology sector.
Excellent organizational and time-management skills, strong written and verbal communication, proficiency in Microsoft Office Suite.
Ability to work independently or as part of a team, strong attention to detail, problem-solving abilities, and the capacity to handle confidential information with discretion.
