Responsibilities:
Manage CEO's or Director's schedule, appointments, and travel arrangements.
Coordinate meetings, prepare documents, take minutes, and follow up on action items.
Handle confidential correspondence, reports, and communication with internal and external parties.
Act as liaison between management, departments, and business partners (including Japan HQ).
Translate meeting notes, contracts, and business documents (for Japanese-speaking position).
Prepare sales quotations, tenders, and marketing presentation materials.
Maintain and update sales, client, and contract records accurately.
Support office operations including procurement, filing, and general administration.
Assist in planning and coordination of company events, business trips, and marketing activities.
Ensure smooth daily operations and effective communication across all departments.
Requirements:
Diploma or Degree in
Business Administration, Management, or related field
.
At least
3-5 years of relevant experience
in executive or secretarial support.
Japanese-speaking role:
JLPT N2 or above, with ability to translate business documents.
English-speaking role:
Excellent written and spoken English; experience in Legal or Banking sectors preferred.
Strong organizational, communication, and multitasking skills.
Proficient in Microsoft Office (Word, Excel, PowerPoint).
Professional, discreet, and detail-oriented with a proactive attitude.
