What you\xe2\x80\x99ll do

In addition to providing administrative support to the VP International Oncology and a team of Brand Directors, you\'ll provide broader department support to the cross-functional team members. Tasks may include project management of functional activities, representing the VP in communication/ responses to different stakeholders, booking meetings, maintaining documentation, establishing systems and structures for day to day functioning of their responsibilities. In some instances, you may supervise others and allocate resources as necessary.

  • Responds on behalf of the VP to different stakeholders, maintaining high professional standards whilst managing conflicting needs
  • Responds to more complex or escalated enquiries from other PA and administrative members from Global and International teams
  • Coordinates and schedules meetings and workshops with markets on behalf of the Brand Directors
  • Coordinates internal and external meetings/ conferences so that they run smoothly, including scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available
  • Prepares documents, presentation materials and official information releases and distributes to required stakeholders
  • Accurately transcribes, types, formats, and proofreads a wide variety of material (for example correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics and spreadsheet software.
  • Plans and organises own workload so that all activities are completed accurately and on time
  • Administers the team\xe2\x80\x99s generic email account and shared calendar
  • Administers and manage accesses of email distribution lists, MS Teams and SharePoint
  • Provides procurement and budget tracking supports
  • Provides specialist project based administrative support when required
  • Performs other administrative tasks using independent judgement and discretion
  • Coaches and mentors less experienced administrative members
Essential for the role
  • GCE \xe2\x80\x98A\xe2\x80\x99 level or equivalent
  • Prior PA experience supporting senior executive and a team
  • Ability to carry out work with or without a given set of process or instruction
  • Good interpersonal and communication skills (both written and spoken)
  • Demonstrated ability to work without supervision
  • Experience in Concur and SAP applications
  • Specialist knowledge in relation to administrative/business support activities in the relevant area
  • Able to undertake a full range of mathematical calculations/ activities relevant to the area of work
  • Able to create and maintain systems for efficiency for both self and others
Desirable for the role
  • Relevant vocational qualifications or equivalent experience
  • Team management skills
  • Ability to multitask
