About the role




We are looking for a highly organized and proactive Personal Assistant to support the CEO in managing day-to-day priorities and driving executive effectiveness. In this role, you will oversee a dynamic calendar, coordinate travel and meetings, and act as a trusted gatekeeper for communications and confidential matters. The ideal candidate thrives in fast-paced environments, anticipates needs before they arise, and brings professionalism, discretion, and adaptability to ensure the CEO can focus on strategic priorities.

Key Responsibilities



Executive Support & Time Management



Manage and optimize the CEO's calendar, travel, and daily workflow to ensure alignment with strategic priorities. Anticipate and resolve scheduling conflicts, ensuring smooth coordination across teams and stakeholders. Implement systems that improve efficiency in meetings, operations, and task management.

Communication & Stakeholder Engagement



Serve as the primary point of contact for the CEO, engaging with executives, board members, partners, and clients with professionalism. Prepare clear, high-quality communications, presentations, and reports that reflect the CEO's voice and vision. Manage access to the CEO's time by prioritizing requests and ensuring effective communication across the business.

Confidentiality & Integrity



Handle sensitive company and personnel information with the utmost discretion. Demonstrate sound judgment, integrity, and confidentiality in all aspects of the role.

Problem-Solving & Initiative



Anticipate needs, proactively address challenges, and take ownership of solutions. Identify and implement process improvements that enhance executive-level efficiency.

Professional Presence & Emotional Intelligence



Represent the CEO and company culture with diplomacy, professionalism, and confidence. Maintain composure under pressure and navigate sensitive situations with tact and resilience.

Requirements



Proven experience supporting C-level executives in fast-paced or complex organizations (3-5 years preferred). Exceptional organizational and prioritization skills, with proficiency in scheduling tools and productivity software (e.g., Google Workspace, Microsoft Office). Excellent verbal and written communication abilities, with strong attention to detail. High emotional intelligence, adaptability, and discretion in handling sensitive information. Bachelor's degree in Business, Administration, Communications, or a related field preferred.
