What the role is
The Government Technology Agency (GovTech) aims to transform the delivery of Government digital services by taking an "outside-in" view, putting citizens and businesses at the heart of everything we do. We also develop the Smart Nation infrastructure and applications, and facilitate collaboration with citizens and businesses to co-develop technologies. Join us as we support Singapore’s vision of building a Smart Nation - a nation of possibilities empowered through info-communications technology and related engineering. The Communications & Marketing Group (CMG) is responsible for GovTech’s external and internal communications. The team builds GovTech’s brand narrative, generates and manages positive publicity for the organisation, as well as garners awareness, adoption and use of digital services among public service officers, citizens and businesses. GovTech CMG’s goal is to promote awareness and understanding, drive adoption, use and satisfaction of Smart Nation and digital government services among public service officers, citizens and businesses. The team also strives for GovTech to be recognised as a key thought leader in applied technology in Singapore and internationally. In this role, you are expected to perform a diverse range of secretarial and administrative duties professionally to support the Director of CMG in carrying out his / her duties effectively. The candidate will need to exercise considerable resourcefulness, sound judgment and independence, while maintaining confidentiality at all times.
What you will be working on
• Provide administrative and secretarial support for day to day tasks like schedule management, booking meeting venues, handling meeting logistics, and managing requests from staff and external companies as well as agencies for meeting slots • Manage travel arrangements for the Director, handle expense claims, procure office supplies as well as track processing of invoices and payments • Organise divisional functions, off site and teambuilding events as needed • Prepare meeting materials and event admin briefs where necessary • Perform budget tracking for certain line items for CMG and purchase related processes • Participate in any other ad hoc projects (such as assisting with events management) and committees as assigned from time to time

What we are looking for
• Minimum of five to seven years’ secretarial experience at the executive level preferred • Proficient in Microsoft Office Word, Excel and PowerPoint • An independent, self-motivated, organised and resourceful individual who has strong time management skills and can work well with minimal supervision • Good negotiation, interpersonal and communication skills • Exercise sound and reasonable judgment in sorting out priorities and deadlines • Attention to detail and meticulousness • Possesses professionalism, tact and discretion in handling confidential matters
