Responsibilities: Duties performed require considerable confidentiality, initiative, tact, and mature and independent judgment. This classification requires leadership qualities such as adaptability, flexibility, dependability and accountability. Much of the work is self-appointed, and requires a high degree of professional independence, initiative and self-discipline.

  • Organize and manage calendars, appointments, meetings and conferences.
  • Organize office operations and handling office administration.
  • Screen incoming correspondence, emails and reports.
  • Manage expense claims.
  • Make travel arrangements, coordinate needs for business trips, meeting schedules, video and teleconferences.
  • Arrange travel visas and prepare necessary visa documents and travel bookings with agency and ensure that bookings are accurate, up to date and within budget parameters.
  • Organize management/board meetings.
  • Ensure all matters requiring HOD’s attention are dealt with meticulously.
  • Ensure all leave, staff matters, expenses and project/system requests are attended to immediately.
  • Ensure that travel itineraries are up to date, correct and available promptly in the diary.

Experience:
  • At least 5 to 7 years of working experience in the related field/position.
  • Preferably Senior Executives specializing in Secretarial/Executive & Personal Assistant or equivalent.
  • Previous experience in financial services industry or professional firms will be an advantage.
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
  • Ability to work independently and in a fast paced and dynamic environment
  • Strong communication skills, both verbal and written
  • Excellent planning skills
  • Highly developed organizational skills and has a strong eye for details
  • Proactive in recognizing and anticipating needs of the supported leaders
  • High initiative and willingness to learn
  • Trustworthy with a highly professional approach to working with sensitive & confidential information
  • Demonstrates flexibility in the face of change and adaptability to different work styles.

Education:
  • Preferably a Diploma in Business Admin or related field
