The Role Responsibilities

Job Summary

To provide administrative, secretarial & business support to the Retail Banking Manager/s and their team members

Provide support to the Manager/s and their team members in the co-ordination of the departmental activities by ensuring that manager and team meets his/her objectives and serve internal and external customers in an efficient and timely manner. This includes ensuring, on a daily basis, that matters that require follow up are acted on by the relevant managers and team members.

Responsibilities

Processes

  • Diary management including the coordination and arrangement of day-to-day meetings (internal, external, conference calls and video conference).
  • Assist in prioritisation of the Manager(s)' schedule to ensure appropriate time allocation.
  • Email management - screening, managing and prioritising various requests.
  • Handle all correspondence and communication; including mail, faxes, responding to routine mail, handle telephone and enquiries related to the Manager(s), and the division/department.
  • Supervise and maintain efficient and effective digital and/or manual filing and retrieval system for the department.
  • Organise and coordinate meeting materials.
  • To support travel arrangement and processing travel and expense reimbursements for the Manager(s) and team members.
  • To support event planning and logistics management - organise offsite meetings, social events and internal/external dinners.
  • Oversee office administration - procurement of office and IT supplies. This relates to the control of office expenditures and payments to vendors.
  • To undertake ah-hoc assignments from Manager/s and team members.

High sense of judgment in handling sensitive information regarding the Bank and People.

Ability to assist the Manager /s and team members to achieve their objectives / goals effectively and efficiently.
  • Strong organisational and project arrangement skills with an excellent eye for detail.
  • Ability to handle a stretching, diverse workload and prioritise various given tasks and ensuring deliverables are met by working efficiently in an accurate manner.
Integrity, Pro-activeness and initiative are required on various issues. * Flexible, attitude and willingness to work in situations of flux; ability to work in a fast turn-around environment; strong emphasis on teamwork.
  • Strong work ethic and willingness to take ownership for wide-ranging responsibilities.
  • Excellent communication and interpersonal skills.
  • 5 years of relevant experience in executive support will be desirable.
