The Role Responsibilities

Job Summary

Personal Assistant to the Global Head of Public Sector & Development Organisations (PSDO), Financial Institutions.

Responsibilities

  • Provide full administrative support to Global Head of PSDO (travel/meeting/diary arrangement and tracking).
  • Coordinate business activities and achieve the required standards for volumes of work and meeting deadlines.
  • Support any Ad Hoc tasks for GH PSDO.
  • Act as primary liaison contact point for the GH PSDO.
  • Full & active calendar and meeting management - not limited to drafting responses on behalf, scheduling appointments, setting reminders.
  • Act as effective 'gatekeeper' for diaries to ensure the right prioritisation.
  • Extensively manage e-mails including checking incoming/outgoing emails and following up as necessary.
  • Telephone liaison, both internal and external; including fielding speculative calls and dealing with general enquires as required.
  • Maintain & update Travel planner to coordinate overseas trips.
  • Coordinate detailed itineraries for overseas visits.
  • Arranging logistics including video calls, invitations, room bookings, catering, conference calls for meeting arrangement, and training requirements.
  • Respond accurately to internal and external information requests.
  • Administration of the GH PSDO using `PeopleSoft, the Bank's HR self-service software including holidays, sickness, team movement etc.
  • Preparation of claims for the re-imbursement of business expenses and invoice administration.
  • On-line purchasing and ordering administration using the Bank's bespoke software (eProcurement).
  • Provide additional support to other FI MT members in Singapore when required.
  • Cover for other FI PAs during their leave period.

  • Ensure adherence to relevant policies on T&E claims, vendor expense requests, and staff leave requests.
  • Always ensure confidentiality as the role will be privy to very sensitive information.
Governance
  • Approvals for IT, HR, Finance, T&E, G&E, GDAM etc.
  • Oversight and updating of Cost Centres.

Our Ideal Candidate
  • Bachelor's Degree / Graduates from a recognised university.
  • 5 + years of relevant work experience as an Executive Assistant, Personal Secretary or Administrative Assistant in an international firm preferred.
  • Experience with Travel arrangements. Maintain & update Travel planner to coordinate overseas trips.
  • Calendar and Meeting Management.
