The Practice Assistant (\xe2\x80\x9cPA\xe2\x80\x9d) role is responsible for providing a wide range of secretarial, administrative and ad hoc projects. They work closely with the partners and lawyers (\xe2\x80\x9cAllocations\xe2\x80\x9d) and with remote assistance from the PA team located in Manila. The PA should demonstrate flexibility in extending support and assistance through multi-tasking for multiple people and contribute to the group/Firm\'s success by actively seeking to improve working processes, anticipate needs and take action accordingly. The PA team is structured to collaborate and work cohesively with both the Firm\'s local and global PAs.ResponsibilitiesProvide general administrative support to Allocations, including but not limited to, arranging meetings, booking rooms, handling calls, supporting travel related needs and expense reimbursements;Prepare legal documents, correspondence and communications etc. (may be required to liaise directly with clients when organizing meetings), in proper White & Case style and format with correct grammar, spelling and punctuation;Working with the Billings team in preparation of invoices including liaising with other various business support groups;Assist set up of new matters on New Business Intake (NBI) and facilitate conflicts clearance;Use good judgment at all times; ask follow up questions if instructions are unclear, efficiently communicate feedbacks, concerns, issues and workarounds;Ensure all restricted information, matters, issues and personal effects of Allocations are treated with utmost confidentiality; andManage any other duties as reasonably requested by Allocations and service leadership team.RequirementsAt least 6 years of experience in supporting associates and professional support lawyers in an international law firm is preferred but not mandatory;Excellent Microsoft Applications (Outlook, Word, Excel, PowerPoint) skills;Professional telephone manners;Familiarity with iManage, ChromeRiver, Elite 3E, Cisco Telephone System, Intranet Navigation (Connect) or equivalent systems, and the use of office equipment such as PDF Scanners, copiers, and video conferencing units;HOW TO APPLY :Interested applicants, please submit your updated resume & a recent photo in MS Word format to :sue@officesecretaries.com.sgPlease state your availability, current & expected salaries for processing purpose.
