is looking to hire a Procurement Assistant [Temporary].
Reporting to the Procurement Assistant Manager/Manager, the Procurement Assistant [Temporary] will collaborate with team members to secure compliant and cost-effective outcomes for the College, and assist with general administrative duties.
The role is based at the East campus, with occasional travel to Dover as required.
Please note that this is a fixed term contract role ending on 2 4 June 2026.
Main Responsibilities
Assist with Procurement Tender function - Such as scheduling project meetings during the tender stage, site show rounds, tender clarifications, seamless information collaboration between internal and external stakeholders, tender closing and generating management reports for approval.
Develop strong relationships and build trust with stakeholders in the College to understand business needs to build solutions to manage purchases; Assist in resolving supply, quality, service, and invoicing issues between Suppliers and internal stakeholders
Assist and guide requestors to ensure that all requirements and scope of works are clearly defined before sourcing from the market
Assist with the preparation of ad hoc tender and administrative paperwork (e.g. Drafting of Invitation to tender, preparing letter of award, etc.) and ensuring Supplier's compliance with all relevant College policies and declarations.
Assist with any other duties, tasks or jobs with similar levels of responsibility and complexity to the assigned job grade as may be reasonably requested by the line manager and/or the College.
Person Specifications
Minimum Qualification: A diploma/degree in Business Administration, Supply Chain Management, Logistics, or a related field is preferred. We welcome applications from fresh graduates who are eager to learn and adapt.
A minimum of one year's experience in similar positions, preferably in procurement or purchasing.
Candidates who do not meet the minimum qualifications may still be considered based on relevant experience
Strong analytical and negotiation skills with an attention to detail and meticulous with numbers
Familiar with working with Google Workspace, Microsoft Office, and/or macOS, with excellent written and spoken English
Able to work well with both external and internal stakeholders
A positive work attitude and a high level of integrity are essential
Able to work cohesively in a team based environment as well as independently
Able to multitask and deliver results in a multicultural environment
