Responsibilities

• Prepare purchase orders (Goods or Services) in line with final negotiations with selected suppliers and in line with organizational targets and requirements.
• Define correct buying channel for each request, chooses the best supplier in term of price, quality and lead time.
• Monitor and track orders and ensure timely delivery by suppliers are in good order and condition.
• To liaise with suppliers on the delivery status for order, invoice and supporting doc and send to account dept on time manner.
• To follow up with the Internal stakeholders (Project Manager & Order management) on forecasts related and update the delivery and shipment status.
• Raise Spot for freight and follow up with the forwarding agent and logistic department on shipments and deliveries.
• To follow up on non-conformance issues with respective departments and suppliers and take corrective action. (the return of defective or incorrect materials/shortage or damages).
• Follow up with suppliers on documents (invoice/timesheet/DO) to proceed with Purchase Order based on the scope of work (SOW) and liaise with Internal Stakeholder to complete goods receive process in system & purchasing process.
• Monthly report (Cost saving report, Ontime delivery report , DPO (Improve Cash management) etc.
• To create, update and maintain vendor master list record.
• Yearly Maintain updated purchasing records and data in system.
• Any other duties and responsibilities as and when necessary, at an ad-hoc basis.

Requirements

• At least 3 to 4 years of experience in relevant field with Graduate discipline with experience in handling purchasing administrative role.
• Good Knowledge in ERPs like SAP/ Oracle.
• Logistics knowledge / Incoterms
• Import & Export awareness
• Good Communication skills in English to interact within internal & external stake holders within and outside Country.
