Job Description

This role exists to contribute to and support the successful and complete delivery and fulfillment of SIM Academy's and SIM Group Limited, jointly referred to as "SIM", programmes, projects and services.

This may include, but not limited to, being assigned to various tasks during delivery, post-delivery of training programmes and administrative support for the fulfillment of the training programme, project and/or service. Delivery of training may be synchronous and non-synchronous delivered either on-premise, virtually and/or on digital platforms. The incumbent takes ownership of the job tasks assigned and is committed to the success of the programme, project and/or service.
He/She coordinates and organises all operational and logistical needs and supports training delivery with the aim to optimise customer experience, retention, and resource allocation.
Accountabilities: To assist in the planning, oversee the coordination and monitoring of logistics, resources*, during training delivery for the fulfilment of the programme, project and service objectives (customer satisfaction and process quality). These may apply for both funded and non-funded programmes.
To support post-delivery administrative processes*, as needed, and provide administrative support to fulfill the contract and, as needed, to our customers (learners and/or clients), faculty, partners, and internal stakeholders. This may include, among others, filing, data-entry, the collation of evaluation reports and assessment records for funded programmes and/or invoicing.
To provide datato Programme Lead for the tracking of performance targets and outcomes. To communicate and liaisewith customers, work with faculty, vendors (e.g. caterers), internal stakeholders (e.g., facilities), and partners where needed, during training delivery for the resolution of operational and service matters with the aim of optimising learning experience. To help identify service gaps and opportunities for improvement during training delivery by surveying the faculty, learners, training environment and provide feedbackto the Programme Lead on service and process improvements in the respective programme, project and/or service. To support ad-hoc administrative requestsfor the collation of documents and other related tasks for specific projects and/or work tasks. To attend all mandatory trainin*g as required as per SIM policies and for any on-the-job training in preparation for and fulfillment of the role.
To gather all necessary information and documents before programme delivery from programme lead (e.g., registration list for attendance, details of the programme, faculty and/or client information, evaluation qr code, signage, wi-fi details, special requests, etc. where applicable). To confirm all preparations for programme delivery is complete with Programme Lead and ensure that faculty and learners have been issued programme confirmations. Before class commencement on training day: to be present before class commencement to oversee venue set up, catering set up and arrangements, course materials & stationery distribution, test AV system, and admin brief with faculty, where needed and applicable. During class: to open the class with the assistance of faculty, assist with attendance taking (funded programmes - qr code) if needed, and support with any adhoc requests by faculty in the event of any technical issues and/or related requests. And to address any issues raised by learners during session proper. Before the class ends: to assist and coordination all collection of reports (e.g. assessment scripts for funded programmes) and the checking of the said reports, and confirm that attendance is complete and recorded (especially for funded programmes). Post programme delivery: scan attendance list, and file all necessary documents in the shared folder. To attend post programme brief with Lead to close all matters pertaining to programme delivery. If there are any matters raised by faculty and/or learners that requires follow-up, to highlight these to Programme Lead during brief. To support administrative tasks relating to the programmes delivered, specific ad-hoc projects and/or certain functions, e.g., invoicing, data collection, event logistics, coordination of activities, and document collation.

RequirementsBachelor's Degree or Diploma holder with 3 - 5 years of working experience Proficient in MS office applications Data analytical skills Excellent communication, inter-personal and presentation skills Team player with mature personality and positive attitude Resourceful, self-driven and independent Meticulous, able to multi-task, work under pressure and commitment to meeting deadlines Strong command of written and spoken English
