Role Summary:
Provide support and lead activities in support to Singapore Leadership team, such as events, cross-funcitional projects, activities to build culture and enhance communication; Administrative support to Country manager; Support projects of some of the other leadership team members; Focal point of contact for MBC office; Able to stretch into business and take on other projects of critical importance, as needed.
Role Responsibilities:
Facilitation support for senior management projects
Active participation in the Singapore Country Leadership meetings, ensuring follow through for ideas and projects; Take leadership and ownership of its own projects, to benefit the country (e.g.: initiatives to cut red tapes, improve internal processes, etc); Able to prioritize agenda topics, according to LT strategic priorities; Curious professional, willing to learn the business and contribute broadly.
Overall support to Biopharma Singapore / One-Pfizer:
Maintain department calendar to coordinate work flow and meetings.
Set up and coordinate meetings and conferences, lead/support on any large scale company events;
Support travel arrangements for sponsored HCPs (customers) to international events
Provide support in assigned project\xe2\x80\x90based work such as fundraising activities and the company\xe2\x80\x99s wide meetings.
Ensure materials and activities are in compliance with internal policy & local code of ethics for pharmaceutical marketing.
Office related:
Work closely to GWS (Global Workplace Solutions) to ensure office facilities and services are delivered as expected, communicating expectations from leadership team and following up on improvements
Support meetings at MBC office to align & coordinate company\xe2\x80\x99s wide events or items.
Be the ISO (Information Security Officer) and SSO (Site Security Officer) for MBC office. Ensure that security standards are maintained and Pfizer Global Polices are complied with
Be the contact person with GWS re the overall needs of the MBC office
Lead indirectly all other coordinators and administrators based in MBC office and ensure best-practices are shared among administrators and represent this group as one voice to other enabling functions
Internal Comms related:
Execute and support on all internal comms plan for Biopharma Singapore, CM and One-Pfizer and to ensure that timely written comms are done at key milestones, before and after events where relevant; and the internal comms plans are agreed by the respective leadership members
Suggest topics to be include in the local intranet and work with digital to upload those content
Support to Singapore Country Manager:
Provide administrative support to Singapore CM, including but not limited to, travel arrangements, meetings organization and expense reporting
Control and review CM office budget and make necessary adjustments along the year.
Education:
Minimum GCE \xe2\x80\x9cO\xe2\x80\x9d level, preferably with Private Secretarial Certificate.
Experience:
Minimum six years experience in general office responsibilities and procedures.
Computer literate - proficient in MS office, Desktop Publishing.
Knowledge of principles and practices of basic office management and organization, planning, records management and general administration.
Desirable experience in leading small projects
Knowledge of the basic principles and practices of bookkeeping.
