Job Description


Project Lead for uPlay Supply is responsible to oversee the planning, coordination, and execution of events that provide exceptional experiences to our clients and guests. You will be responsible for managing a team of event coordinators and ensuring that projects are completed on time, within budget, and to the satisfaction of our clients.

  • Responsible for planning and coordinating all aspects of an event, from conceptualization to execution. This includes creating event timelines, setting budgets, securing venues, arranging for food and beverages, coordinating with vendors, and managing logistics such as transportation and accommodations
  • Involved in the design and production of events, including creating event themes, developing event concepts, and overseeing the production of event materials such as signage, banners, and promotional materials
  • Responsible for selecting and managing vendors, such as catering services, audiovisual providers, and entertainment providers. This includes negotiating contracts, coordinating with vendors to ensure their services are delivered as per the event requirements, and resolving any issues that may arise during the event
  • Responsible for creating and managing event budgets, tracking expenses, and ensuring that events are executed within budgetary constraints. This may include negotiating contracts, managing payments, and tracking financial records
  • Support the Client\'s internal publicity and promotion of the events, including creating promotional materials
  • Responsible for managing logistics related to events, such as coordinating transportation for attendees, arranging accommodations, managing registration and ticketing, and overseeing event setup and teardown
  • Responsible for identifying and mitigating risks associated with events, such as safety hazards, legal and compliance issues, and potential disruptions. This may include developing emergency response plans, obtaining necessary permits and licenses, and ensuring compliance with relevant regulations and guidelines
  • Present on-site during events to oversee all aspects of event execution, manage staff, handle emergencies or unforeseen issues, and ensure that the event runs smoothly and according to plan
  • Work closely with clients to understand their event objectives, provide regular updates, and ensure that client expectations are met or exceeded. This includes maintaining professional relationships with clients, understanding their needs, and managing their feedback and concerns
  • To assess the success of the event, gather feedback from attendees and stakeholders, and identify areas for improvement in future events
Requirements
  • Minimum Diploma in event management, project management, hospitality management, or a related field
  • At least 4-5 years of experience in event management, project management, hospitality, preferably in the leisure, recreational and hospitality sector
  • Excellent leadership skills to manage teams of event planners, vendors, and suppliers
  • Excellent written and verbal communications
  • Must have basic budgeting and financial management skills to ensure events are delivered within budget
  • Ability to multi-task and adhere to timelines
  • Preferably possesses good experience in at least one of the following event domains: Team Bonding, Sports & Wellness, Anniversaries / D&D / Family Days, Group Travel
