Job Description


The Project Management & Operations Specialist, Communication & Public Affairs (C&PA), Janssen Asia Pacific (AP) is a key role supporting our regional C&PA team and responsible for operations of the Asia Pacific team and management of major strategic initiatives. Reporting to the VP, Communication & Public Affairs for Janssen Asia Pacific, you will work directly with the Regional C&PA Leadership Team (LT) supporting key meetings and projects, as well as liaising closely with the Market C&PA teams.

You will:

  • Support the efficient management and operations of the Janssen AP C&PA LT
+ Work closely with the VP, C&PA Janssen AP to develop and manage the agenda of the regional LT - using data and strong relationships with the team to identify key areas of focus
+ Distribute and manage agendas for key regional meetings
+ Develop minutes and support the Regional VP in ensuring the completion of follow-up action items for the Janssen AP C&PA LT
+ Apply best practice project management principles to support key regional initiatives - supporting the delivery of major initiatives in an optimal manor
+ P rovide ad hoc project support as required for Janssen AP C&PA Center of Excellence Leaders
  • Effectively manage and optimize the financial and procurement operations of the Janssen AP C&PA team
+ Ensure efficient and smooth management of the supplier, purchase orders, requisitions and related processes for the regional C&PA team
+ Liaise with the regional finance team to ensure the budget management tools and reporting documents are kept up to date with the latest information and tracking
+ Drive required Health Care Compliance, regulatory, legal and contractual operations to ensure projects can be executed swiftly and on-time
  • Provide the operations management and support for major Janssen AP events
+ Support the delivery of world-class events that bring together the Janssen AP C&PA team and enhance the team culture
+ On occasion provide event management support for other key regional Janssen AP meetings e.g. LEAD meetings
+ Manage the agenda, compilation of slide materials etc for regional C&PA Town Halls and presentations - directly supporting the needs of the regional C&PA LT
  • Provide communications support to the VP, C&PA Janssen AP when required
+ On occasion provide ad hoc support on creating the first draft of regional communication materials including organization announcements, team updates and other such communications from the regional team
  • Bachelor\'s degree and above
  • 3-5 years working experience in a team assistant or project management role with communication and public affairs experience preferred
  • Healthcare industry experience preferred
  • Proactive attitude to identify and address opportunities
  • Strong written and verbal English communication skills
  • Proven organizational management skills
  • Preferred experience with SAP and Purchase Order management
  • Exceptional communication and coordination skills in a complex organization with proven success navigating among multiple stakeholders
  • Demonstrated project management skills and the ability to independently manage multiple projects simultaneously across geographies and time zones
  • Cross-cultural experience preferred
  • A desire for a long-term career in communication and public affairs
  • Budget and agency management experience
